Position Overview

We are seeking an experienced Administrative Assistant to provide broad operational, administrative, and organizational support to our leadership team and growing construction organization. This is a highly trusted, high-impact role designed to help "make the world go around" - supporting onboarding, coordination, meetings, communication, and day-to-day business operations.

Required Experience:

5-10 years of administrative or operational support experience

Experience supporting multiple leaders or departments

Strong proficiency in Microsoft Office (Word, Excel, PowerPoint)

Ability to handle sensitive and confidential information with discretion

Strong organizational, prioritization, and time-management skills

Ability to work effectively in a fast-paced, growing environment

Preferred Experience:

Associate's degree or higher

Experience in a professional or business environment such as:

Construction

Corporate office

Professional services

Key Responsibilities:

Administrative & Operational Support

Provide administrative support to multiple leaders and teams at the leadership level

Act as a reliable, go-to resource with a can-do, flexible attitude

Manage office-related needs, including supplies, business cards, gifts, swag, and other ad-hoc requests

Onboarding & People Support

Coordinate staff onboarding for professional roles (non-craft)

Assist with onboarding logistics, training coordination, and internal communication

Support employee experience initiatives, including:

Birthdays

Work anniversaries

Employee milestones and celebrations

Culture-building efforts and internal communications

Scheduling, Meetings & Events

Coordinate interviews, schedules, and calendars as needed

Prepare for staff and operational meetings, including:

Agenda support

Note-taking

Follow-up documentation

Assist with internal events, training sessions, and company activities

Systems, Documentation & Communication

Maintain internal databases, including:

Email distribution lists

Contact and communication records

Prepare documents, presentations, and spreadsheets using:

Microsoft Word

Excel

PowerPoint

Support internal communication efforts across teams

Vendor & Partner Support (as capacity allows)

Assist with pre-qualification processes for trade partners, subcontractors, and vendors

Support documentation and coordination efforts currently shared across leadership

Job Type & Location

This is a Contract to Hire position based out of Frankfort, IL.

Pay and Benefits

The pay range for this position is $30.00 - $33.00/hr.
