Job Description
The Office of Records and Registration is the primary enrollment information and academic service unit for students, faculty and administrators. The Registrar is the leader of the Office of Records and Registration and is responsible for the personnel, budget, and office operations of the Office of Records and Registration. This position is responsible for managing the systems which admit and enroll students each term, student records, the monitoring and enforcement of academic policy as well as providing data interpretation which informs and supports institutional decision-making. The Registrar is a member of or leads several internal and external committees surrounding policies and enrollment management. Additionally, the Registrar is the point of contact for several agencies including the National Student Clearinghouse for enrollment and degree verification, US Dept. of Education for enrollment data, VA for issues related to military connected student enrollment and degree verification, PELSB for Teacher licensure application issues, international agencies for enrollment and degree verification and agencies/individuals related to matters of confidentiality and release of student records. This position works directly with students to resolve admission and registration issues, graduation requirements, grading and diploma questions, matters of confidentiality of student records, as well as routine information students need to function at the university. In addition, the Registrar is a primary source of student information for the general public and the position becomes involved if there is a question of access to information.
PRINCIPLE RESPONSIBILITIES
Leads, supervises, and directs Records & Registration personnel, including but not limited to which includes the supervisory functions of hiring, transferring, coaching, rewarding, promoting, assigning work, scheduling coverage, and disciplining when necessary. Administer aspects of the performance review process, create training, professional development and onboarding for area employees. Approve and monitor work hours, schedules and use of leave. Monitor the quality and timeliness of work performance of staff and take action to correct errors and address the consequences of those errors.

Plan, organize, establish, direct, and evaluate student registration and record keeping functions. Develop policies and strategies for student, and university personnel for utilization of the registration system, academic records and other technology which impact university operations; Responsible for confidentiality and security requirements as related to academic records; Remain relevant of new developments related to student records and registration in higher education, business operations and technology. Collaborate with other university personnel on technology implementation, functionality and training to support business processes and university operations. Provide assistance and information to students and university personnel.

Implement, maintain, and evaluate the processes and technology involved in major office functions to include, but not limited to term course and classroom scheduling, university curriculum database, registration, teacher licensure certification, graduation and diploma processing, recording of student grades and academic transcript processing, academic warning and suspension, certification of veteran's educational benefits, automated degree audit, and undergraduate admission processing. Provide assistance and information to students and university personnel.

Responsible for the coordination and execution of graduation and related processes including but not limited to commencement ceremonies, graduation/degree completion, and diploma processing.
Priority: Secondary, Percent of Time: 10%
Development and implementation of the departmental budget including monitoring expenditures, analyzing variances, and ensuring alignment with institutional financial policies. Identifies opportunities for resource optimization and supports strategic planning through data-informed financial management.
Priority: Secondary, Percent of Time: 10%
Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.

Salary Range: $34.11 - $51.28/hour
Minimum Qualifications
Three years of Enrollment experience (Registrar/Admissions/Financial Aid/Advising); Doctorate degree may substitute for two years of experience; Master's degree may substitute for 18 months of experience; Bachelor's degree may substitute for one year of experience; Associate's degree may substitute for six months of experience
Experience as a supervisor, team lead, or lead worker
Extensive leadership experience in enrollment with a sophisticated understanding of student information systems, enrollment technology, and data privacy
Change management experience including the ability to work in ambiguity
Demonstrated Commitment to equity and inclusiveness; ability to bring diverse perspectives and experiences together
Strong written and oral communication skills
Demonstrated ability to remain adaptable and flexible to different situations and changes, including learning new systems and processes.
Demonstrated ability to analyze data/research and make recommendations to promote implementation of effective practices.
Preferred Qualification
Bachelor's Degree or Master's Degree in higher education administration, business administration, or related field
Experience in Records & Registration/Registrar's Office
Experience with satisfactory academic progress
Other Requirements
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, lifting, pushing and pulling up to 30 pounds.
