Job Description

The Administrative Assistant will be responsible for performing a variety of administrative and clerical tasks to support different departments within the organization. This role involves answering phone calls, greeting visitors, and assisting various departments with their specific needs.

Responsibilities

Answer phone calls and greet visitors as needed.

Assist Corporate Services in sorting and distributing incoming mail.

Help process court orders for child support.

Support the Benefits department with sending out Leave of Absence paperwork and processing Tuition Reimbursements.

Aid the Accounts Payable department with mailing vendor and refund checks, scanning and emailing invoices to the Maxim Vendor Portal, and handling vendor correspondence.

Provide support to Corporate Services, which includes contributing to special projects, developing and sending correspondence, and filing/archiving documents.

Arrange and coordinate corporate meetings and lunches as needed.

Assist the Travel team with verifying travel manifests and ordering meeting-related supplies, including name badges, signs, and promotional items.

Maintain and order office supplies and other items as needed.

Perform other duties as assigned.

High School diploma or equivalent required.

Some clerical/administrative experience strongly preferred.

Strong organizational skills with great attention to detail required.

Ability to multi-task and meet competing priorities.

Effective communication skills, both verbal and written, across all levels in the organization.

Excellent discretion and judgment in handling confidential data.

Computer proficiency, including knowledge and experience in Outlook, Excel, Word, PowerPoint, and the ability to learn other software within the organization.

Work Environment

The position requires working on-site for five days a week, from 8 AM to 5 PM.

Job Type & Location

This is a Contract position based out of Columbia, MD.

Pay and Benefits

The pay range for this position is $21.00 - $21.00/hr.
