Description We are looking for an Accounts Payable Specialist to support a defense manufacturing organization in Costa Mesa, California. This Long-term Contract opportunity is ideal for someone who excels in managing a high volume of invoice activity while maintaining strong accuracy, compliance, and documentation standards. The position will play a key role in ensuring timely payments, reliable financial records, and effective coordination across internal departments and external vendors.

Responsibilities:

Handle a large volume of invoices across purchase order, non-purchase order, and recurring billing workflows with a strong focus on accuracy and timeliness.

Verify invoice details through three-way matching by comparing purchasing records, receiving documentation, and supplier invoices before processing for payment.

Review and assign appropriate general ledger coding, cost centers, tax treatment, and approval paths in accordance with company policies and internal controls.

Partner with teams such as Purchasing, Receiving, Inventory Control, and vendor contacts to research and resolve pricing, quantity, and payment discrepancies.

Reconcile vendor statements on a routine basis to confirm all billings are captured correctly and scheduled for payment within required timelines.

Support month-end close activities by assisting with accruals, open liability reporting, aging analysis, and account reconciliations related to accounts payable.

Maintain complete and audit-ready electronic records for invoices, purchase orders, receipts, and related supporting documentation.

Use Oracle to process transactions, monitor approvals, and maintain accurate accounts payable data.

Contribute to payment operations, including ACH activity and check run support, to help ensure vendors are paid accurately and on schedule. Requirements - Demonstrated experience in accounts payable within a fast-paced, high-volume environment.

Strong working knowledge of invoice processing, account coding, and invoice approval procedures.

Hands-on experience performing three-way matching for purchase order-based transactions.

Proficiency with Oracle and confidence navigating ERP systems for accounts payable processing.

Familiarity with ACH payments, check runs, and standard vendor payment practices.

Ability to identify discrepancies, investigate issues thoroughly, and coordinate resolutions with cross-functional teams.

Solid understanding of general ledger coding, cost center allocation, and basic tax compliance requirements.

Strong attention to detail, organizational skills, and ability to maintain accurate digital documentation.
