$35/hr

Position Summary

We are seeking a dependable and detail-oriented Administrative Assistant to join a long-standing, family-owned construction company. With a reputation built on quality work, integrity, and exceptional customer service, they are looking for an individual who will help support daily office operations, maintain accurate records, and contribute to the continued success of their team. This position supports two affiliated companies with a combined workforce of approximately 28 employees.

Key Responsibilities

Provide administrative support for daily construction office operations.

Process payroll and assist with quarterly payroll tax filings.

Prepare cash flow recommendations and assist with budget analysis and financial reporting.

Perform accurate data entry and reporting within the busybusy.com workforce management platform.

Maintain fleet vehicle records and documentation for company trucks across two business entities.

Assist with DOT compliance requirements and in-state reporting.

File, organize, and maintain company records, employee files, and regulatory documentation.

Answer phones, respond to customer inquiries, and provide professional customer service.

Assist management with special projects, reporting, and operational support as needed.

Coordinate office communications and ensure efficient workflow throughout the organization.

Support accounting, operations, and field personnel with administrative needs.

Expected Results

Maintain accurate and timely payroll processing and required quarterly filings.

Ensure data integrity within company management systems and fleet records.

Support positive customer relationships through professional communication and responsiveness.

Keep office records organized, accurate, and readily accessible.

Assist management in monitoring cash flow and budget performance.

Maintain compliance with DOT and other applicable reporting requirements.

Contribute to a productive, organized, and efficient office environment that supports company goals and operations.

Required Experience

Previous office administration experience.

Data entry experience with a high level of accuracy.

Filing and records management experience.

Experience in construction, transportation, or related industries is preferred but not required.

Required Skills

Strong data entry and computer skills.

Exceptional attention to detail and accuracy.

Strong organizational and filing abilities.

Excellent customer service and communication skills.

Ability to multitask and manage competing priorities.

Proficiency with Microsoft Office and common office software.

Ability to learn and utilize industry-specific software applications.

Dependable, professional, and self-motivated work ethic.

Physical Requirements

Ability to sit for extended periods while working on a computer.

Ability to stand and move throughout the office as needed.

Frequent use of hands and fingers for typing, filing, and operating office equipment.

Ability to maintain focus and attention to detail throughout the workday.
