TheWorkplace Experience Coordinator is responsible for supporting day-to-dayworkplace
operations,employee services, visitor experience, facilities coordination, meetingreadiness, pantry standards, and local service delivery for the Irvine office.
Thisrole serves as the primary on-site point of contact for workplace services andprovides
independentlocal support while remaining aligned with account-wide service expectations, operationalprocedures, and company standards.
TheWorkplace Experience Coordinator is expected to take ownership of the officeenvironment, proactively identify needs, coordinate with vendors and internalpartners, and escalate matters requiring additional support or approval. Therole helps maintain a professional, welcoming, organized, andhospitality-focused workplace for employees, visitors, and business partners.
PrimaryResponsibilities
Receptionand Visitor Support
Provideprofessional and welcoming experience for employees, visitors, guests, andbusiness partners. Greet visitors, coordinate arrivals, prepare meeting spaces,maintain reception areas, communicate professionally, and escalate securityconcerns as needed.
Workplaceand Employee Support
Serveas the primary on-site workplace resource, support employees with office needs,
communicateworkplace updates, gather feedback, support engagement initiatives, and resolveroutine issues independently.
Meeting,Event, and Logistics Coordination
Coordinatemeetings, events, room readiness, catering, AV, deliveries, shipping,receiving, and post-event resets while partnering with vendors and internalstakeholders.
FacilitiesOperations and Maintenance Support
Conductoffice walkthroughs, coordinate maintenance, track service requests, overseevendor follow-up, and maintain employee-facing spaces.
Pantry,Supplies, and Inventory Management
Maintainpantry and office supplies, coordinate reorders, monitor inventory, maintaincleanliness, and follow purchasing controls.
ServiceRequest Coordination
Manageworkplace requests, communicate status updates, coordinate resolutions,document activity, and escalate recurring issues.
Vendorand Service Provider Coordination
Coordinatevendors, maintenance, catering, deliveries, property management, and ensure
compliancewith site procedures.
Health,Safety, and Compliance
Supportsafety inspections, emergency preparedness, incident reporting, complianceactivities, and workplace security.
AccountAlignment and Communication
Maintainconsistency with account-wide processes, participate in reporting, communicateoffice updates, and escalate decisions requiring leadership review.
