Senior Administrative Assistant
The Senior Administrative Assistant supports the Lymphoma-Myeloma Department within the Cancer Medicine Division at MD Anderson Cancer Center. This role provides high-level administrative, fiscal, and logistical support to faculty and leadership, ensuring the effective coordination of meetings, academic conferences, clinical and research activities, and departmental operations within a fast-paced oncology environment. The Senior Administrative Assistant plays a critical role in supporting faculty productivity, compliance with institutional processes, and the overall operational success of the department.

Salary Range - $45,500 - $57,000 - $68,500
The typical work schedule is Monday - Friday, with one day per week onsite and the remaining days worked remotely.
Responsibilities
Administrative and Meeting Coordination
Organize and provide logistical support for programmatic meetings and conferences assigned to faculty
Schedule clinical laboratory meetings, research laboratory meetings, committee meetings, and conference chair responsibilities
Ensure meetings are fully prepared for faculty facilitation
Record, distribute, and track meeting minutes and action items
Fiscal Coordination and Budget Support
Prepare purchase requisitions in accordance with institutional purchasing guidelines
Monitor and balance assigned company center budget activity
Perform complex account review, tracking, cost projections, and status reporting
Identify potential budget issues and escalate as appropriate
Prepare funding applications, budget projections, and justifications under faculty direction
Track and report faculty expenditures using PRS Development Funds on a weekly and monthly basis
Maintain accurate fiscal documentation and expenditure files
Travel, Events, and Guest Coordination
Coordinate travel arrangements for faculty guests, research teams, clinical teams, and external collaborators
Prepare travel packets for preapproval in accordance with departmental policy
Process travel reimbursements and ensure compliance with guidelines
Coordinate monthly Hematology Grand Rounds and Statewide Grand Rounds speakers
Send meeting invitations, make reservations, prepare itineraries, and escort guest speakers
Provide full logistical coordination for monthly faculty dinners, including vendors, catering, RSVPs, budgeting, and on-site support
Purchasing and Vendor Management
Prepare and process purchase orders in accordance with institutional policies
Obtain, review, and evaluate vendor quotes for cost-effectiveness
Coordinate with vendors on availability and delivery timelines
Monitor purchase orders through completion
Resolve invoice or shipment discrepancies
Manage E-Ship Global and Federal Express activities
Clinical and Operational Support
Ensure completion and signature of Provider Outage Forms for all faculty and advanced practice providers
Coordinate with Clinical Medical Director to support clinic scheduling and budgeted clinical targets
Perform other duties as assigned in support of departmental operations
EDUCATION
Required: High School Diploma or Equivalent
Preferred: Associate's Degree
Preferred: Bachelor's Degree
WORK EXPERIENCE
Required: Five years Administrative/secretarial experience
Three
years with Associate's degree or one year required experience with Bachelor's degree.
OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
