The Executive Assistant (EA) will provide executive administrative services and support to the Commissioner's Office at the Department of Employment and Economic Development (DEED). A sharp operational mind with an eye for detail, the EA will have the ability to work with a variety of internal and external stakeholders. Excellent writing skills and the ability to balance competing strategic priorities are a must, as are strong people skills and thoughtful administrative abilities. The EA plays a central role in the leadership team's successful management of the agency and will understand how to get things done inside state government. The EA will communicate with agency and program staff, other state agencies and legislative staff, external stakeholders, and the general public.
Responsibilities include scheduling meetings, making travel arrangements, tracking internal and external events and public meetings to accomplish the division's priorities, preparing reports, supporting purchasing and budget tracking, and maintaining organizational awareness to foster cross-functional communication and involvement. The EA will deal with confidential and sensitive information and must possess a high level of confidentiality, professionalism, and time management skills.

Minimum Qualifications

Two (2) years of experience developing and implementing administrative and program policies, procedures, and service standards in cooperation with management.
Skill in using business grammar, spelling, and punctuation to write, develop and edit reports, letters, procedures, presentations, and other documents.
Skill in database management sufficient to develop and maintain databases and calendars for staff.
Skill in typing/Keyboarding, using Microsoft Word or equivalent software, sufficient to produce documents such as emails and other correspondence in an efficient and timely manner.
Ability to communicate in a variety of formats to gather and relay information with tact and diplomacy.
Preferred Qualifications
Experience as an administrative assistant or executive assistant supporting multiple executives simultaneously.
Experience with State of Minnesota systems, policies/rules, regulations, and procedures.
Ability to analyze and make recommendations to management for new or revised administrative and program practices and procedures for smooth and efficient office operation.
Skill in setting work priorities, arranging staff coverage to meet workload needs, and initiating new work assignments.
Knowledge of accounting systems sufficient to query and compile records and reports, and prepare and maintain spending plans, financial status reports, and budget requests.
Experience authoring corporate or public agency-wide communications or public documents.
