Description

As an Executive Assistant, you'll play a critical role in supporting a fast-paced executive team. Your responsibilities will include:

Communication & Workflow Management:

Plan and manage executive communications to ensure efficient workflow and timely responses while assessing and prioritizing tasks and issues.

Prepare professional correspondence, letters, and presentations using tools like Microsoft Office.

Assist with creating PowerPoint presentations, Excel spreadsheets, and other documentation as required.

Calendar & Scheduling Coordination:

Maintain and oversee a master calendar for executive activities, including meetings, events, and travel planning.

Manage complex and frequently changing business and personal calendars, ensuring timely attendance for all commitments.

Coordinate travel itineraries and oversee expense report processing with strict attention to detail.

Meeting & Logistical Management:

Provide support for high-level meetings, including staff updates, quarterly department meetings, off-site events, and logistics planning.

Actively participate in meeting coordination, ensuring all elements run smoothly.

Budget Tracking:

Monitor department budget spending by tracking and communicating updates to relevant stakeholders.

Executive Liaison:

Act as the primary gatekeeper and liaison for the executive team, fielding all inquiries with professionalism and efficiency.

Team Collaboration:

Assist fellow Executive Assistants and department administrative staff as needed.

Maintain collaborative relationships across teams to ensure smooth operational processes.

Leadership Support:

Serve as a leader for department administrative assistants, setting standards and coordinating team efforts.

Provide general administrative support across activities and projects.

Is This You?

Education & Experience:

Associate's degree with 5 years of related experience or Bachelor's degree with at least 3 years of experience.

Skill Set & Personality:

Curious and passionate about learning and developing business insights.

Strong interpersonal skills with a talent for building partnerships and relationships.

Adept at managing multiple projects and priorities simultaneously in a complex environment.

Highly organized with excellent time-management and attention to detail.
