Position: 12-month Administrative Assistant - Counseling
Locations: Lionville Middle School
Pay Rate: $19.63 per hour
Schedule: 7 hours per day, 5 days per week, 260 days per year (12-months)

Job Summary: Assists counselors in the Counseling Department by providing guidance to students in selecting courses appropriate to their aspirations, resolving problems, and realizing scholastic achievement in school for eventual acceptance into college, the winning of a scholarship, or obtaining employment.
Qualifications: To successfully perform this position, a person must be able to perform each primary duty satisfactorily.
High school diploma.
Knowledge of language arts and mathematics.
Proficiency in the use of technology for individual and system management, communication, and research.
Effective interpersonal skills with the ability to diplomatically interface with students, parents, teachers, staff, college representatives, and employers required.
Good typing skills required.
Experience operating office equipment, performing clerical tasks, and maintaining files and records required.
Must successfully complete and maintain compliance with all federal and state background and criminal record check requirements.
Candidate must adhere to all local, state, federal, and school code requirements for employment.

Provides secretarial support, issues guidance passes, locates students, and assists with phone coverage for counselors, Crisis Intervention Specialist, Academic Support Counselor, and School Psychologist.
Assists students and parents in utilizing services within the Counseling Department (phone calls, inquiries, schedules, enrollments, transfers, and withdrawals).
Prepares correspondence and forms.
Maintains Special Education files and log. Processes Permission to Evaluate (PTE) forms to parents. Maintains Individualized Education Plan (IEP) calendar.
Maintains student records (release/obtain records, file standardized testing reports, and adhere grade/credit labels to cumulative files).
Enters grade changes after the window for teachers closes.
Updates, prints, and distributes report cards.
Organizes and files Progress Reports and Failure Notices for all grades.
Maintains honor roll record keeping and if necessary, reprints report cards after each grade change.
Folds, stuffs, and posts various mailings.
Prepares, collects, and counts test materials for distribution for Center for Arts and Technology (CAT) testing and Pennsylvania System of School Assessment (PSSA) testing.
Maintains course selection materials.
Coordinates homework requests for sick students.
Schedules appointments for students, guidance groups, and counselors. Maintains appointment calendars.
Maintains current records maintenance utilizing current software program.
Creates and maintains position procedure outline to describe day to day duties of the position/department as needed.
