Description We are looking for a detail-oriented Administrative Assistant to provide comprehensive support to the Executive Director and assist with the operations of the Marcus Jackson Project. This role involves managing schedules, coordinating communications, and handling administrative tasks to ensure smooth organizational workflow. This is a long-term contract position based in Edenton, North Carolina.
Responsibilities:
Oversee the Executive Director's daily administrative needs, including managing their calendar and organizing meetings.
Develop and maintain forms, templates, and other documents to streamline processes.
Draft and distribute donation request letters, thank-you notes, and other key communications.
Attend planning and board meetings, take detailed notes, and prepare meeting minutes as required.
Collaborate with part-time staff, board members, and clients to coordinate schedules and activities.
Organize and schedule internal projects, staff meetings, and board meetings as directed.
Maintain accurate records of income and expenses in collaboration with the Board Treasurer.
Assist in tracking and documenting expenses for the Executive Director and other staff members.
Ensure effective email correspondence, data entry, and scheduling of appointments.
Coordinate travel arrangements and prepare itineraries for executive and organizational needs. Requirements - Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
Strong skills in calendar management and scheduling appointments.
Ability to handle inbound and outbound calls with professionalism and excellent customer service.
Experience taking meeting notes and preparing detailed documentation.
Familiarity with maintaining financial records and tracking expenses.
Strong organizational abilities for coordinating meetings and events.
Exceptional email correspondence and data entry skills.
