Description

We are looking for a Maintenance Coordinator to support day-to-day service operations for a residential property team in Boston, Massachusetts. This role serves as a central point of contact for maintenance-related communication, ensuring service requests are documented accurately, assigned efficiently, and followed through to completion. The ideal candidate is organized, responsive, and comfortable balancing tenant communication, scheduling coordination, and administrative support in a fast-paced environment.

Responsibilities:

Coordinate daily assignment of maintenance service requests and route technicians based on urgency, trade, and availability.

Gather clarifying information from residents when needed, including photos or added details, to help define the scope of reported issues.

Review incoming maintenance requests and classify them appropriately to support timely handling and accurate tracking.

Monitor the status of open work orders, update records as progress is made, and keep residents and maintenance staff informed throughout the service process.

Confirm technician arrival and visit outcomes, document whether issues were completed or require additional follow-up, and arrange return appointments when necessary.

Maintain organized administrative records such as invoices, receipts, and related service documentation.

Communicate with vendors, property management staff, and internal team members to support scheduling and service coordination.

Notify residents about planned construction activity, utility interruptions, or other property events that may affect access or services.

Provide administrative assistance to the property manager, including support with lease renewal coordination and other office tasks as needed.

Requirements - Experience in administrative support, service coordination, or a similar office-based role.

Strong verbal and written communication skills with the ability to interact professionally with residents, vendors, and team members.

Ability to manage inbound calls, enter data accurately, and maintain organized records in a timely manner.

Familiarity with maintenance request handling, work order tracking, or property management operations.

Sound judgment and a calm, solutions-focused approach when addressing resident concerns or high-pressure situations.

Proficiency in clerical and administrative tasks, including scheduling, documentation, and follow-up communication.

Strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
