Front Desk Coordinator

Description We are looking for a Front Desk Coordinator to serve as the first point of contact for visitors and callers in our Boston, Massachusetts office. This Long-term Contract position is ideal for someone who enjoys creating a welcoming environment while keeping daily front office operations organized and efficient. The successful candidate will balance guest support, phone coverage, and administrative tasks with professionalism and strong attention to detail.

Responsibilities:

Welcome guests, clients, and employees in a courteous manner and ensure a positive front office experience.

Manage a multi-line phone system, direct incoming calls accurately, and relay messages promptly to the appropriate contacts.

Coordinate front desk activities by maintaining orderly reception areas, tracking visitor flow, and supporting day-to-day office needs.

Provide concierge-style assistance by answering general questions, offering directions, and helping resolve routine visitor or staff requests.

Perform data entry tasks with accuracy while updating internal records, logs, and administrative documentation.

Organize and maintain files so that physical and digital documents remain current, accessible, and easy to retrieve.

Prepare routine correspondence, schedules, and reports using Microsoft Word, Excel, and Outlook.

Support administrative operations by assisting with clerical tasks, calendar coordination, and communication follow-up as needed. Requirements - Previous experience in front desk support, reception, administrative assistance, or a related customer-facing position.

Ability to handle a multi-line phone system while maintaining efficiency and a courteous approach.

Strong customer service and interpersonal skills with an approachable communication style.

Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.

Accurate data entry skills and a consistent focus on detail in daily administrative work.

Ability to organize files, manage multiple priorities, and remain dependable in a fast-paced office setting.

Comfortable interacting with visitors, employees, and external contacts in a detail-focused office environment. TalentMatch®
