The Opportunity We are seeking a Facility Management Supervisor to join our Firm. This position will be based in our New York office (onsite).This role serves as the primary onsite supervisor for facilities operations. Scheduled hours are 1:30 p.m. to 9:30 p.m., Monday through Friday. The supervisor oversees Firm employees and external vendor personnel, supports day-to-day departmental operations, and ensures facilities services are delivered effectively and in compliance with Firm policies. Flexibility to adjust hours as needed to support operating and business needs is required. Position Overview Supervises the operations of the Facilities Management function and ensures departmental operating needs are met. Serves as the primary onsite supervisor for department personnel, including Firm employees and external vendor staff, and provides hands-on support for facilities services, event breakdowns and resets, mail and supply operations, and issue resolution. Participates in department projects, leads training efforts, and helps maintain efficient, technology-enabled processes and documentation. Responsibilities Supervises the daily activity of department personnel during the evening shift and ensures operational needs are met in a timely, efficient, and service-oriented manner. Serves as the primary onsite supervisor for approximately 25 staff members, including a core group of Firm employees and external vendor personnel. Oversees second-shift facilities operations, including event breakdown, room resets, mail and supply support, and other departmental services required to maintain a high-quality office environment. Ensures accurate and timely responses to requests for departmental services and escalates issues as appropriate. Monitors time, attendance, overtime, and timesheet reporting to ensure accuracy and compliance with Firm policies and procedures. Enforces departmental and Firm policies and serves as the go-to resource for staff regarding attendance, scheduling, operational questions, and day-to-day issue resolution. Works closely with building staff and external vendors, including Swiss Post, to coordinate services and maintain continuity of operations. Provides hands-on leadership to the team, working alongside staff as needed to support departmental workflows and address service needs. Coordinates and oversees department projects, day-to-day operations, and long-range plans. Recommends and implements changes and improvements in methods, procedures, and workflows to enhance efficiency, service delivery, and operational effectiveness. Develops, communicates, and maintains departmental guidelines, procedures, and documentation, including refreshing documented processes and training materials as needed. Leads training for team members on department procedures, service standards, and relevant technologies and systems. Ensures current knowledge of Firm policies and practices, current knowledge of industry trends, and continued professional development for business services professionals.
