Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations, managing office tasks, and ensuring efficient communication within the organization. This position requires a proactive individual with excellent multitasking abilities and strong interpersonal skills.

Duties

Provide administrative support to management and staff, including scheduling appointments and managing calendars.

Answer multi-line phone systems, greet visitors at the front desk, and handle customer inquiries with professionalism.

Perform data entry tasks, maintain filing systems, and ensure accurate record-keeping.

Assist with bookkeeping tasks and manage basic accounting functions using QuickBooks.

Utilize Microsoft Office and Google Workspace for document preparation, presentations, and correspondence.

Proofread documents for accuracy and clarity before distribution.

Manage office supplies inventory and coordinate with vendors as needed.

Support customer service initiatives by addressing client concerns and providing timely solutions.

Maintain confidentiality of sensitive information while adhering to company policies.

Skills

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.

Strong organizational skills with the ability to prioritize tasks effectively.

Excellent typing skills with attention to detail for data entry and documentation.

Experience in clerical duties and office management preferred.

Bilingual candidates are encouraged to apply for enhanced communication capabilities.

Demonstrated customer service experience with a focus on client satisfaction.

Familiarity with multi-line phone systems and professional phone etiquette.

Previous experience as a dental or medical receptionist is a plus.

Ability to manage time efficiently while handling multiple responsibilities simultaneously.
