Job Summary:
This recruitment will be used to fill one part-time (approximately 20-hours per week) Administrative Program Assistant: Hatfield Marine Science Center Housing Coordinator position for the Hatfield Marine Science Center at Oregon State University (OSU). This position is located in Newport, Oregon.
Position Summary:
The HMSC Housing Coordinator supports HMSC Housing logistics and daily operations under the direction of the HMSC Resident Director, including processing incoming applications, housing assignments & reservations, and participating in on-call duties. In addition, the HMSC Housing Coordinator will coordinate activities/events that promote healthy behaviors, foster community, and support an inclusive living environment.
The position is an on-call, live-in professional. As an essential member of the HMSC Student and Campus Services Team, the HMSC Housing Coordinator will join a collaborative team that ensures the unique programmatic needs of HMSC are met.

HMSC is OSU's 49-acre coastal research campus that has operated in Newport for 62 years. The
greater Hatfield enterprise employs over 410 professionals, and hosts over 460 students. Hatfield's annual economic impact to the coast is $52 million, $25 million representing 'core' operations funding, and $27 million in competitive grants, and, through this research enterprise, it provides undergraduate and graduate students with hands-on research opportunities and experiential instruction. HMSC also supports K-12 STEM education programs (~35K students per year) and public outreach through programming in our Visitor Center (~ 150,000 visitors per year). In addition to Oregon State University personnel, HMSC is an oceanographic research base for 5 state and federal agencies working in the marine sector: NOAA, EPA, USF&W, USDA, and ODFW). About Hatfield Housing:
HMSC offers unique housing accommodations for upwards of 150 college students, instructors, researchers, and agency partners. HMSC recently expanded housing operations with the addition of a newly built residence hall, including 77 apartment fully furnished apartment style units. The HMSC Housing Coordinator will play a vital role in the logistics, and implementation of residential services and student support systems.
Key Responsibilities:
Process housing applications and maintain records.
Assist with bookings and assignments, and all associated administrative tasks.
Correspond with prospective and incoming residents.
Serve in on-call capacity for lock-outs and emergency response.
Assist with residential events and resource development.
Qualifications:
Required Qualifications:
Three years of office experience which included two years at full performance level and experience generating documents; and
Lead work responsibility or coordination of office procedures.
Excellent customer service orientation, ability to communicate clearly and effectively both verbally and in written form.
Proficiency in Microsoft Office Suite (with emphasis on Excel, Word, Outlook, Teams), databases, social media and hybrid meeting platforms such as Zoom.
Demonstrated ability to maintain a flexible, team-oriented, professional, and cooperative attitude.
Must have the ability to work irregular hours including night and weekend work.
Must have a valid driver's license and good driving record.
This position requires driving a university vehicle or a personal vehicle on behalf of the university;
therefore, the incumbent must successfully complete a motor vehicle history check, possess, and
maintain a current, valid driver's license in their state of residence, be determined to be position
qualified and self-report convictions as per University Policy 05-030.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must
successfully complete a criminal history check and be determined to be position qualified as per
University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in
youth programs may have additional criminal history checks every 24 months.
Preferred Qualifications:
Bachelor's degree
2 years of experience in scheduling, housing, lodging accommodations or residence life.
Experience working with and supporting diverse populations in university housing, higher education, or K-12 education.
Experience working with individuals and young adults in high stress situations. Ability to manage emergency and crisis response.
Experience planning events, developing resources, and coordinating support services.

This is a live-in position. The HMSC Housing Coordinator performs essential functions and may be required to report to work during emergencies, university closures and holidays. This is a half-time position that requires some weekend, evening, and early morning time commitments, on-call responsibilities, as well as supervisory work. The HMSC Housing Coordinator will receive a one-bedroom apartment, utilities included, at the convenience of the employer.
Necessary ability to lift up to 25 lbs.
Necessary ability to traverse 1 mile over uneven, coastal terrain.
This position is required to drive university owned vehicles.
