Job Description

A client in Brooklyn is seeking an Administrative Assistant to support the onboarding and compliance process for newly hired school bus drivers for a 3 month contract opportunity. Due to significant organizational growth and increased route volume, this individual will play a critical role in helping the team efficiently onboard drivers, manage compliance documentation, and support walk-in candidates. The ideal candidate is detail-oriented, organized, customer-service focused, and able to manage multiple administrative tasks in a fast-paced environment.

Conduct administrative support for the driver hiring and onboarding process

Assist Customer Experience Specialists with candidate offer and onboarding activities

Coordinate candidates entering training and onboarding programs

Manage and track required hiring documentation and compliance requirements

Support completion of NYC DOE compliance paperwork and related records

Help schedule and facilitate candidate onboarding activities, including physicals and drug screenings

Respond to candidate inquiries using established templates and communication processes

Assist walk-in applicants and provide exceptional customer service

Maintain accurate records in company tracking systems and spreadsheets

Partner with onboarding team members and local operations staff to ensure drivers are cleared and ready to work

Skills and Requirements

1+ years of administrative, onboarding, compliance, HR support, or clerical experience

Strong organizational skills with a high level of attention to detail

Proficiency in Microsoft Excel and Microsoft Office

Excellent verbal and written communication skills

Experience working directly with customers, employees, or the public

Ability to manage multiple tasks and follow established processes

High school diploma or equivalent - Transportation, logistics, fleet, or school transportation industry experience

Experience supporting compliance or onboarding processes

Familiarity with PERS, PETS, Trello, or similar tracking systems

Bilingual in Spanish or Haitian Creole

Experience working with regulatory documentation or licensing processes (DOT, driver compliance, etc.)
