Job Title: Administrative Assistant I
Location: Freeport, TX
Pay: $20/hr
Schedule: Monday-Friday, 7:30am-5:00pm
Duration: Temp-to-Hire
Position Summary
Seeking a detail-oriented Administrative Assistant I to provide comprehensive secretarial, clerical, and administrative support for a busy operations team. This role will be responsible for managing daily administrative operations, supporting departmental needs, and ensuring an efficient workflow throughout the office.
Key Responsibilities
Provide general administrative and operational support to various teams.
Complete and maintain operational tracking spreadsheets using Excel.
Assist with preparing and maintaining test reports and job quotations.
Oversee vendor selection, track pricing, and coordinate office supply orders and deliveries.
Maintain and track employee time records, vacation, sick time, and personal days.
Coordinate the assignment of office space, computer equipment, and technology as needed.
Act as liaison for accounts payable, human resources, workers compensation, and billing issues.
Prepare documents, memos, reports, and presentations using Microsoft Office applications.
Initiate and draft both routine and non-routine correspondence.
Schedule meetings, manage calendars, and coordinate candidate interviews.
Maintain and order office supplies; process invoices for payment.
Support HR processes such as scheduling drug screenings, safety training, and managing badges for technical staff.
Draft and interpret reports, safety rules, and procedural documents.
Qualifications
High school diploma or equivalent required.
2-5 years of administrative or office experience preferred.
Strong organizational and time management skills.
Proficient in Microsoft Excel; experience with Microsoft Word and PowerPoint required.
SAP Business One experience a plus.
Highly accurate and efficient data entry skills.
Ability to work independently and collaboratively.
Excellent verbal and written communication skills.
Ability to maintain confidentiality and handle sensitive information professionally.
Comfortable handling basic math operations and simple reporting.
Experience operating standard office equipment.
Physical Demands
Frequently required to sit, stand, walk, and use hands and fingers for data entry.
Occasionally required to bend, stoop, kneel, or balance.
Occasionally required to lift or move items as necessary.
Regularly required to talk, hear, and use visual acuity for reading and computer work.
