Summary The employee serves as a Program Support Assistant in the Support Services Division (SSD) at the Oakland, California Veterans Administration Regional Office (VARO). The primary purpose of the work is to actively assist the supervisors and management of the SSD in performing administrative work. Responsibilities Specific duties include: Establishes, maintains, and analyzes division-wide operational and audit-report controls, including assembly, review, quality assurance, and timely submission of reports used for internal and external evaluation. Compiles, evaluates, and reports monthly mailroom, photocopy, and administrative data; ensures tracking, routing, and timely completion of priority communications and internal reporting requirements. Oversees and executes all aspects of mail processing for the office, including receiving, sorting, logging, distributing, and shipping incoming and outgoing mail, ensuring timely and accurate handling of both staff and public correspondence. Operates, maintains, and troubleshoots a variety of office and mailroom equipment (e.g. high-speed printers, x-ray machines, mail processing machines, copiers), and assists in managing mail tracking systems and shipping processes. Ensures office security by identifying and isolating suspicious mail items and contributes to continuous improvement of mail handling procedures and systems. Reproduces, distributes, and maintains Veterans' records and official documents (including Privacy Act and Freedom of Information Act materials), manages forms inventory, and ensures timely updates to distribution lists. Maintains and distributes supplies, forms, office equipment, and furniture to ensure continuous RO operations, including inventory management and warehousing. Monitors supply utilization and advises on reorder needs to keep the supply room orderly and adequately stocked. Prepares correspondence and reports using office automation equipment, provides guidance to staff on ADP systems and software, and assists in troubleshooting and reporting computer malfunctions within the division. Acts as a liaison by advising staff on procedures, reporting requirements, and deadlines to ensure compliance with Support Services policies. Serves as the principal timekeeper for SSD. Specialized Experience: To qualify at the GS-06 Grade Level: Applicants must have one year of Specialized Experience equivalent to at least the next lower grade (GS-05) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include but are not limited to performing the following duties: composing, reviewing, and editing correspondence, auditing statistical data, assessing organizational workflow, and serving as the principal timekeeper.
