The Administrative Coordinator works as part of a fast-paced recruiting organization, partnering closely with other coordinators to manage end-to-end recruiting activities and build strong internal relationships. This role serves as an organizational subject matter expert for operational processes, supports interview and hiring programs across multiple business units and regions, and ensures a seamless experience for candidates and stakeholders. Responsibilities
Manage operational workflows and service requests through ticketing systems, ensuring timely resolution within established service level agreements and maintaining high quality standards and data accuracy.
Coordinate end-to-end program logistics for interviewing and hiring programs, including scheduling, stakeholder communication, and documentation across multiple business units and geographic regions.
Schedule interviews and meetings, manage calendars, and provide administrative support to recruiting teams and hiring stakeholders.
Create and maintain reporting mechanisms such as operational dashboards, monthly business review inputs, and status updates that give leadership clear visibility into program health and key metrics.
Develop and implement process improvements by identifying opportunities to streamline workflows, reduce manual effort, and enhance stakeholder experience through automation and standardized procedures.
Serve as the primary operational contact for assigned programs, providing guidance on processes and systems while coordinating between program managers, business partners, and cross-functional teams.
Conduct quality assurance activities including audits, data validation, and compliance checks to ensure operational excellence and adherence to established standards.
Maintain accurate records and data within recruiting systems and tools, ensuring information is up to date and reliable for reporting and decision-making.
Collaborate effectively with internal and external clients and candidates, demonstrating strong communication skills and the ability to shift priorities quickly as business needs change.
Essential Skills
Proven experience in recruiting coordination, project coordination, administration, logistics, HR, or an equivalent operational support role.
Strong project coordination skills, including the ability to manage multiple tasks, timelines, and stakeholders in a fast-paced environment.
Proficiency with basic web-based tools and products such as Outlook, Excel, Word, and SharePoint.
Solid Microsoft Excel skills, including data entry, organization, and basic reporting.
Experience scheduling interviews and meetings and providing administrative support to teams.
Ability to manage operational workflows through ticketing or tracking systems while meeting service level agreements.
Excellent communication skills, with the ability to build relationships and collaborate with diverse stakeholders.
Strong attention to detail and a commitment to maintaining data accuracy and quality.
Ability to quickly shift gears, adapt to changing priorities, and work effectively in a dynamic environment.
Additional Skills & Qualifications
Degree or diploma in Human Resources or a related field is preferred.
Experience working in a fast-paced, quickly changing, or international environment.
Experience with technical tracking systems or software such as applicant tracking systems (ATS).
Knowledge of operational dashboards, reporting practices, and business review processes.
Experience implementing process improvements, automation, or standardized procedures in an operational setting.
Familiarity with quality assurance practices such as audits, data validation, and compliance checks.
Work Environment
This position is 100% onsite in Arlington, VA. The role is based in a fast-paced recruiting environment that relies heavily on digital tools such as Outlook, Excel, Word, SharePoint, ticketing systems, and applicant tracking systems. You will collaborate closely with program managers, business partners, and cross-functional teams, working within structured workflows and service level agreements. The environment is dynamic and may involve shifting priorities and supporting multiple programs across different business units and regions. Standard professional office attire is expected.
