Essential Job Duties:

The Recruiting Coordinator provides operational and administrative support for recruitment activities. This position coordinates the day-to-day logistics of the hiring process, maintains recruitment systems, assists with candidate sourcing, and ensures efficient, customer-focused practices. Working closely with the recruitment team, this individual serves as a key point of contact to enhance the overall candidate experience.

Other Work/Responsibilities:

Recruitment Coordination & Operations

Coordinate hiring activities from requisition intake through candidate placement.

Assist recruiters with posting positions, reviewing applications, scheduling interviews, and preparing documentation.

Maintain applicant tracking systems, recruitment databases, and employment records.

Monitor workflows, track candidate progress, and process pre-employment background checks.

Manage shared recruitment inboxes and respond to routine inquiries.

Perform data entry, including entering time details between vendor and payroll systems.

Candidate Experience & Customer Service

Serve as the primary contact for applicants regarding application status, interview logistics, and onboarding.

Provide exceptional service to candidates, hiring managers, and human resources representatives.

Assist candidates with navigating recruitment technology, including online applications and video interview platforms.

Sourcing & Marketing Support

Assist recruiters with sourcing candidates through job boards, university resources, and talent pools.

Support recruitment marketing initiatives, career fairs, hiring events, and outreach activities.

Process Improvement

Identify opportunities to streamline recruitment workflows and administrative processes.

Assist in developing standard operating procedures and training materials.

Ability to learn new technology and recruitment systems quickly.

Preferred Qualifications:

Experience supporting recruitment, staffing operations, or utilizing applicant tracking systems.

Proven ability to schedule interviews and coordinate multiple priorities in a fast-paced environment.

Proficiency with Microsoft Office Suite (particularly Excel and Outlook) and human resources information systems.
