Job Description

Insight Global is looking for an Administrative Assistant to join a local client's engineering team. They will be responsible for administrative support, project coordination, office management, and financial & data support.

Administrative Support: Manage calendars, schedule meetings, and coordinate travel arrangements for engineering staff. Prepare, format, and proofread technical documents, reports, and presentations. Maintain filing systems (digital and physical) for project records, contracts, and correspondence.

Project Coordination: Assist with project documentation, including proposals, permits, and compliance forms. Track deadlines, deliverables, and project milestones to support timely completion. Liaise with clients, contractors, and government agencies to facilitate communication.

Office Management: Order and maintain office supplies and equipment. Support onboarding of new team members and coordinate training logistics. Ensure adherence to company policies and procedures.

Financial & Data Support: Process expense reports, invoices, and purchase orders. Assist with budget tracking and project cost documentation. Compile data for internal reporting and presentations.

Skills and Requirements

3-5 years of Administrative Assistant experience

Associates or bachelors degree Experience supporting engineering or construction teams
