Executive Assistant to the CEO

We are seeking an experienced, polished, and highly proactive Executive Assistant to support our President/CEO in a fast-paced, dynamic business environment. This is a high-visibility role that requires exceptional organizational skills, sound judgment, professionalism, and the ability to anticipate needs before they arise.
The ideal candidate is a strategic partner who thrives on managing complex schedules, coordinating executive-level meetings and travel, handling confidential information with discretion, and ensuring seamless day-to-day operations for a senior executive.

Key Responsibilities
Executive Calendar Management
Manage and prioritize a complex and ever-changing executive calendar.
Coordinate meetings, appointments, leadership discussions, and business commitments.
Anticipate scheduling conflicts and proactively resolve challenges.
Travel Coordination
Arrange domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries.
Coordinate passport, visa, and travel documentation requirements.
Manage travel logistics and last-minute changes with efficiency and professionalism.
Executive Support
Serve as a trusted liaison between the President and internal/external stakeholders.
Draft, edit, and proofread executive communications, correspondence, presentations, and reports.
Prepare meeting materials, agendas, and follow-up action items.
Maintain confidentiality while handling sensitive business information.
Expense Management
Prepare and submit expense reports through Concur.
Track and reconcile expenses accurately and efficiently.
Meeting & Event Planning
Coordinate executive meetings, leadership events, off-site meetings, and special company functions.
Manage logistics including scheduling, catering, meeting space preparation, and presentation materials.
Support executive and corporate event planning initiatives.
Special Projects
Assist with strategic projects and administrative initiatives.
Coordinate executive gifting and special recognition programs.
Provide additional executive and occasional personal support as needed.
Qualifications
Required
10+ years of Executive Assistant experience supporting C-suite executives, Presidents, or senior leadership.
Proven success managing complex calendars and high-volume scheduling.
Experience coordinating domestic and international travel.
Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
Experience using Concur expense management software.
Exceptional written and verbal communication skills.
Strong organizational, multitasking, and prioritization abilities.
Ability to maintain strict confidentiality and exercise sound judgment.
Preferred
Bachelor's degree or equivalent professional experience.
Experience supporting executive leadership within a corporate environment.
Event planning and meeting coordination experience.
