Position Summary:
The Administrative Assistant serves as the primary front-office professional and the central point of contact for students, families, staff, and visitors. This position manages daily attendance processes, supports student enrollment and records management, and provides clerical and organizational support to ensure efficient school operations. The Administrative Assistant promotes a welcoming environment while maintaining accuracy, confidentiality, and compliance with district and state requirements.
Essential Duties and Responsibilities

Front Office Operations
Serve as the first point of contact for students, families, staff, and visitors.
Answer and direct telephone calls, emails, and inquiries in a professional and courteous manner.
Maintain a welcoming, organized, and efficient front office environment.
Manage office supplies and coordinate routine office operations.
Attendance and Student Information
Oversee daily attendance procedures, including data entry, verification, corrections, and reporting.
Communicate with parents/guardians regarding attendance matters.
Maintain accurate attendance records and ensure compliance with district and state reporting requirements.
Assist with attendance audits and related documentation.
Enrollment and Records Management
Support student enrollment and withdrawal processes.
Collect, verify, and maintain required student documentation.
Process records requests, enrollment verifications, transcripts, and cumulative student files.
Ensure student records are maintained accurately and in compliance with applicable laws and district procedures.
Administrative and Clerical Support
Assist administrators with correspondence, reports, scheduling, and school communications.
Coordinate substitute teacher coverage and staff absence tracking.
Support grading periods, report cards, and progress reporting processes.
Assist with state and district testing logistics, including student rosters, communications, and materials preparation.
Support onboarding activities for new staff assigned to the building.
Perform general clerical duties including filing, copying, scanning, and data entry.
Confidentiality and Compliance
Maintain strict confidentiality regarding student, staff, and district information.
Comply with district policies, state and federal regulations, and records retention requirements.
Demonstrate professionalism and positive customer service in all interactions.
Qualifications
Required
High school diploma or equivalent.
Proficiency with Microsoft Office, Google Workspace, and general office technology.
Ability to maintain confidentiality and exercise sound judgment.
Strong organizational, communication, and customer service skills.
Preferred
Experience in a school office or administrative support role.
Experience with student information systems such as Infinite Campus.
Knowledge of attendance reporting and student records procedures.
Bilingual skills are preferred but not required.

Evaluation
Performance of this position will be evaluated annually in accordance with Board of Education policy and district administrative procedures. Evaluation criteria will include job performance, professionalism, accuracy, communication, reliability, and fulfillment of assigned responsibilities.
