Job Title: Administrative Assistant

Department: Ashtabula County Children Services Board

Immediate Supervisor: Finance Director

Pay Grade 4: $17.832 per hour with consideration based on experience. Plus, a comprehensive benefit package.

Ashtabula County Children Services is currently accepting applications for full-time Administrative Assistant position. Must have good driving record and pass a drug screen.

JOB RESPONSIBILITIES: Under general supervision of the Finance Director, the Administrative Assistant will:

Performs clerical tasks of a precise, technical nature (e.g., compile and prepare Agency reports; @types letters, reports, and correspondence; date stamp court papers and include SACWIS number and assigned caseworker, copy/scan and file required documents in Traverse; SACWIS data entry for case files; prepare and scan court documents and distribute by e-mail to necessary parties or individuals, etc.).

Answers telephone and serves as receptionist at front window (e.g., greet public and/or any individuals entering the building in a friendly and courteous manner; provide information / answer questions as appropriate; receive and route calls; etc.)

Assist with routine clerical tasks as needed, which may include but is not limited to setting up records, typing reports and/or routine correspondence, proof typing and making corrections as needed; filing documents, preparing letters and packages for mailing, processing forms, distributing gas cards to employees and recording information in database or other system as required, stocking supplies, sorting items, alphabetizing, and minor maintenance and/or repair of office equipment. Maintains and updates time card database and required hard copy documents.

Works on special assignments and projects as directed.

Responds to public inquiries and provides routine general information in a courteous and friendly manner.

QUALIFICATIONS:

High school diploma or GED, with training and/or work experience which evidences a thorough knowledge of Agency operations, Associate's Degree in a relevant field, preferred;

Modern office practices and procedures and computer operation;

Be able to work effectively in a team environment

Possess excellent verbal and written communication skills

Possess excellent organizational skills

Possess competent computer skills

LICENSURE or CERTIFICATION REQUIREMENTS: Must possess a valid State of Ohio driver's license and maintain insurability under the County's vehicle insurance policy. Must be able to successfully pass post-offer drug screen, physical and BCI fingerprint background check.
