JOB DESCRIPTION

The primary purpose of this Administrative Assistant role is to provide a wide array of administrative support services to both our Akron and Cleveland offices. The incumbent of this role will primarily work in the Akron/Fairlawn office and will regularly work out of the Cleveland office an average of 1 day per week.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Provide administrative support to the A&A Department, including but not limited to processing and maintaining financial statements, exit packages, engagement letters, tracking logs and databases, and other reports and/or letters.

Backup to the administrative scheduler to the A&A department.

Answer and direct all incoming calls during scheduled rotation.

Greet visitors and direct to appropriate conference room.

Maintain Visitor log and Pick Up log.

Inbound and outbound mail, including deliveries.

Responsible for all administrative duties in the Cleveland office.

Backup Tax Processing and client invoicing, if needed.

Enter disbursements into Practice Management system.

Monthly credit card reconciliation.

Responsible for stocking and maintaining all common areas, including the lobby, café, coffee station, conference rooms, copy rooms, and hotel spaces.

Assist with coordination of firm lunches, including meetings, firm-wide lunches, etc. and related set up and take down.

All other administrative support services and requested and/or required.

OTHER SKILLS AND ABILITIES

Ability to effectively use Microsoft Office software including Word, Excel, and Outlook.

Demonstrated ability or willingness to learn and apply AI tools, including Microsoft Copilot and similar platforms, to streamline administrative workflows, enhance productivity, and drive operational efficiency.

Ability to operate office equipment (telephone, scanners, copiers, etc.).

Ability to complete work in an efficient and accurate manner.

Ability to adapt to change.

Ability to organize work and projects, prioritize and meet deadlines.

Contribute to a team effort.

Ability to effectively multi-task.

EDUCATION AND/OR EXPERIENCE

College education preferred, but not required. A minimum of three years' administrative experience with another CPA Firm or professional services firm is preferred but not required.
