EMPLOYEES WHO DO NOT MEET AN EXEMPTION, WILL BE REQUIRED TO HAVE CERTAIN VACCINATIONS AND IMMUNIZATIONS OR WEAR A MASK.POSITION DESCRIPTIONThe Administrative Assistant at the City-County Health Department (CCHD) performs a variety of administrative and clerical administrative tasks in support of departmental goals and functions such as answering telephone calls and taking messages, preparing correspondence, performing internal and external customer service and public relations, running errands, researching and preparing reports, scheduling and coordinating trainings, events and meetings, taking meeting minutes, tracking volunteer hours, managing and maintaining filing and database systems, monitoring and ordering supplies and working with vendors, tracking and maintaining supplies and inventory, completing purchase orders, responding to questions/inquiries and information requests from the public and other agencies, and managing small projects and conducting research for the CCHD Public Health Officer (PHO) upon request. This position requires strong organizational skills, attention to detail, accuracy, timeliness and the ability to maintain a high level of confidentiality while dealing with highly sensitive and confidential information. The Administrative Assistant contributes to a work environment that encourages positive staff morale, motivation, commitment, and team building with employees, other County offices, departments and staff and performs other related duties as required or assigned to support the operational needs of the CCHDESSENTIAL JOB DUTIES AND RESPONSIBILITIESPerforms a variety of clerical and administrative work in support of departmental functions and objectives such as answering telephone calls and taking messages, preparing correspondence, performing internal and external customer service and public relations, running errands, researching and preparing reports, scheduling and coordinating trainings, events and meetings, taking meeting minutes, tracking volunteer hours, and managing and maintaining filing and database; Performs a variety of secretarial duties including responding to various inquiries and complaints from other departments, agencies and the public in accordance with established procedure by determining and asking appropriate questions to identify information needs, explaining applicable policy or procedure, locating pertinent information in files or directing/referring the caller to appropriate sources based upon legal requirements (e.g. in case of a formal complaint, etc.); Encourages and contributes to a work environment that encourages positive staff morale, motivation, commitment and team building with CCHD leadership and staff, other County offices, departments and staff; Receives and distributes incoming mail and process outgoing mail and copy, package and distribute a variety of materials in accordance with established procedures; Manages small projects and conducts research for the PHO as requested and assigned by the PHO; Sets up, works with and maintains a variety of f
