Job Title: Production/Events Accountant
Job Description
This role leads end-to-end financial management for high-visibility events, from initial budgeting through post-event reconciliation. The production accountant builds and maintains detailed event budgets, oversees vendor and contract financials, and manages accurate client billing across multiple programs. The position plays a key role in supporting large-scale, global events by providing clear financial insights, ensuring cost control, and implementing efficient financial processes. Responsibilities
Build and maintain detailed budgets for each event, ensuring accuracy, completeness, and alignment with event objectives.
Track spend throughout the event lifecycle, monitor variances, and identify financial risks early to enable timely corrective actions.
Perform full post-event reconciliations by comparing budgeted versus actual costs and prepare clear financial summaries.
Manage vendor contracts from a financial perspective, ensuring proper documentation, compliance, and alignment with agreed terms.
Review and approve vendor invoices by validating them against scopes of work, budgets, and contract terms.
Coordinate with procurement and legal teams to support contract reviews, negotiations, and compliance requirements.
Prepare and issue consolidated client invoices across events, ensuring all billable items are accurately captured.
Ensure billing accuracy, completeness, and timely delivery of client invoices, following up as needed to support cash flow.
Investigate and resolve billing discrepancies or disputes in a professional and timely manner.
Oversee financials for large-scale events, including global summits and other major programs, ensuring robust financial controls.
Track contractor spend, travel and expense (T&E), and grant funding compliance to ensure adherence to guidelines and budgets.
Partner with event production and operations teams to align budgets with execution plans and operational realities.
Provide clear financial insights and reporting to guide decision-making and support strategic planning for events.
Design and implement improved financial workflows that increase efficiency, accuracy, and transparency.
Identify and implement tools or systems that enhance payment tracking, cost visibility, and reporting capabilities.
Standardize production accounting processes across US and EMEA operations to ensure consistency and comparability.
Prepare journal entries, support general ledger activities, and ensure accurate recording of event-related transactions.
Support accounts receivable and accounts payable processes related to events, ensuring timely collections and payments.
Produce financial reports related to event finance and media projects, highlighting key metrics and performance indicators.
Manage multiple concurrent projects and event portfolios, prioritizing tasks and deadlines effectively.
Essential Skills
5+ years of event or production accounting experience, preferably within media or events-focused organizations.
Strong understanding of invoicing, vendor management, budgeting, and financial reconciliations.
Proficiency with accounting software and Microsoft Excel for budgeting, tracking, and reporting.
Hands-on experience with journal entries, general ledger accounting, accounts receivable, and accounts payable.
Demonstrated experience in event finance, including budget vs. actual analysis and financial reporting.
Strong communication skills with the ability to present financial information clearly to non-financial stakeholders.
Proven stakeholder management skills, including collaboration with production, operations, procurement, and legal teams.
Ability to manage multiple concurrent projects and deadlines in a structured and organized manner.
High attention to detail with a focus on accuracy and data integrity.
Analytical mindset with the ability to interpret financial data and provide actionable insights.
Comfort working in fast-paced environments with evolving priorities and requirements.
Additional Skills & Qualifications
Experience supporting international event operations, particularly across US and EMEA regions.
Background in media or events organizations, with exposure to large-scale or global programs.
Experience designing or improving financial workflows and processes.
Familiarity with tools and systems used for payment tracking, cost visibility, and financial reporting.
Ability to operate in an entrepreneurial environment and contribute to building financial systems from the ground up.
Work Environment
The role follows a hybrid work model with four days in the office and one day working from home on Fridays. You will work in an entrepreneurial, fast-growing media and events organization that manages high-visibility global events. The environment is fast-paced and collaborative, with close interaction between finance, event production, operations, procurement, and legal teams. You will use accounting software and Excel extensively, along with other financial tools, to support budgeting, tracking, and reporting. Pay and Benefits
The pay range for this position is $35.00 - $45.00/hr.
