This Project Administrator role supports an engineering and environmental consulting business unit by providing comprehensive office and project administration for a multidisciplinary team. You will help engineers, project managers, and technical staff focus on project delivery by managing documentation, coordinating project setup, and maintaining accurate project information. Responsibilities
Provide day-to-day administrative support to engineers, project managers, and senior staff to ensure smooth project operations.
Assist with project setup by preparing required documentation, entering project details into systems, and ensuring information is complete and accurate.
Coordinate incoming team requests, prioritize tasks, and track progress to ensure timely completion of assignments.
Support client onboarding by gathering required information, entering data into relevant systems, and maintaining accurate client records.
Prepare, format, and organize technical reports, proposals, and other project documentation in a professional and consistent manner.
Perform administrative quality control reviews on project deliverables, checking formatting, consistency, completeness, and clerical accuracy.
Print, assemble, and distribute drawings, reports, and project packages for internal teams and external stakeholders.
Maintain structured and organized electronic and physical project files and folders to support efficient document retrieval and control.
Utilize the company ERP system (Deltek) to support project setup, tracking, and reporting activities.
Generate standard project reports and cost summaries for project managers using the ERP system and other tools.
Assist with data entry for project information, ensuring records remain current, accurate, and aligned with project requirements.
Act as a central support resource for a multidisciplinary team, helping coordinate administrative aspects of multiple projects.
Communicate clearly and effectively with engineers, project managers, technical staff, and other stakeholders to support project needs.
Support document control activities, including version management, distribution, and tracking of project-related documents.
Contribute to continuous improvement of administrative processes by identifying opportunities to streamline workflows and enhance efficiency.
Essential Skills
5+ years of administrative experience supporting project work, ideally in a project-based environment.
3-7 years of administrative or project support experience, demonstrating increasing responsibility over time.
Strong proficiency in Microsoft Office Suite, with advanced skills in Microsoft Excel.
Experience with ERP systems, specifically Deltek (Vantagepoint or Vision), for project setup and reporting.
Proven ability to perform accurate data entry and maintain detailed project information.
Demonstrated experience in document review, including checking for clerical errors, formatting, and completeness.
Strong organizational skills with the ability to maintain structured and well-organized files and documentation.
Ability to manage multiple priorities and tasks in a fast-paced, deadline-driven environment.
Excellent written and verbal communication skills, with a service-oriented mindset.
High attention to detail and commitment to administrative quality control.
Willingness to learn new systems and processes and take initiative in solving problems.
Background supporting engineering or manufacturing teams or similar technical environments.
Additional Skills & Qualifications
Experience in engineering, environmental, or professional services organizations.
Familiarity with Deltek Vantagepoint or Deltek Vision, or similar project-based ERP systems.
Experience with Bluebeam or other PDF editing tools for reviewing and marking up documents.
Exposure to document control practices and project-based workflows.
Experience with PDF creation and management for technical and project documentation.
Project coordination experience, including supporting multiple projects and stakeholders simultaneously.
Strong general administrative skills, including scheduling, organizing meetings, and preparing correspondence.
Interest in contributing to a growth-focused, entrepreneurial culture with significant opportunities for advancement.
Ability to collaborate effectively with multidisciplinary teams across multiple locations.
Work Environment
This role is based onsite in Plainville, CT, within an engineering and environmental consulting business unit. You will work onsite five days a week, with potential for hybrid flexibility depending on business needs and performance. The environment is fast-paced and project-driven, with frequent collaboration among engineers, project managers, and technical staff. You will work extensively with Microsoft Office (especially Excel), an ERP system (Deltek), and PDF tools such as Bluebeam to support project documentation and reporting. The company operates multiple locations nationwide and is in a significant growth phase, with plans to substantially increase revenue over the coming years. Pay and Benefits
The pay range for this position is $23.00 - $26.50/hr.
