Administrative Assistant (Short-Term Assignment)

Position Overview
We are seeking a detail-oriented and highly organized Administrative Assistant to provide comprehensive administrative and operational support for our team in Fontana, California. This temporary assignment will play a key role in maintaining efficient office operations, supporting compliance activities, coordinating logistics, and assisting various departments to ensure seamless business functions.
Key Responsibilities
Manage daily office operations, including sorting mail, ordering office supplies, and coordinating maintenance of office equipment.
Assist with Class A driver compliance documentation and administrative recordkeeping.
Support laboratory maintenance activities, including:
New chemical approval processes
Chemical inventory management
Laboratory computer administration
Hazardous waste disposal coordination
Assist finance personnel with invoice tracking, documentation processing, and record submission.
Support employee time-off scheduling and timesheet preparation.
Coordinate logistics for visitors, conference calls, large group meetings, travel arrangements, and company social events.
Provide operational support to the Pico Rivera Service Center , including weekly travel as needed to maintain efficient site operations.
Accurately enter and maintain data within company databases to ensure data integrity.
Screen incoming visitors and phone calls, directing inquiries to the appropriate team members in a professional and efficient manner.
Qualifications
Required
Previous administrative or office support experience.
Strong organizational and multitasking skills.
Excellent verbal and written communication abilities.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
High attention to detail and accuracy in data entry and documentation.
Ability to work independently and collaboratively in a fast-paced environment.
Reliable transportation and ability to travel weekly to the Pico Rivera Service Center.
Preferred
Experience supporting compliance, logistics, laboratory, or transportation operations.
Familiarity with invoice processing and timesheet management.
