Job Title: Medical Assistant - Back Office (New Providence)Job Description
This back office Medical Assistant role supports a high-volume outpatient practice by providing direct patient care, assisting providers with procedures, and maintaining accurate electronic medical records. You will work closely with providers and clinical staff to manage patient flow efficiently, ensure a positive patient experience, and help deliver high-quality care in a fast-paced environment.
Responsibilities
Perform patient intakes and prepare exam rooms before each visit.
Escort and room patients, ensuring they are comfortable and ready to see the provider.
Obtain and document vital signs, including manual blood pressure readings.
Assist providers with patient care during examinations and office procedures.
Set up and break down rooms and equipment for office procedures according to established protocols.
Update provider inboxes and patient information within the electronic medical record (EMR).
Scan and upload documents into the EMR to maintain complete and accurate patient charts.
Sterilize instruments and maintain a clean, organized clinical environment.
Update medication lists and other chart details to reflect current treatment plans.
Restock exam rooms and supply closets and complete inventory to ensure adequate supplies are available.
Triage incoming phone calls and relay physician or patient questions to the appropriate team members.
Update patient records, input orders, and ensure documentation is accurate and timely.
Use the Athena EMR system to document visits, manage orders, and track patient information.
Support efficient patient flow throughout the day in a high-volume setting, seeing approximately 80-100 patients per day across two providers.
Provide courteous, professional customer service and maintain strong bedside manner with all patients.
Essential Skills
At least 6 months of experience as a Medical Assistant or in a similar clinical support role.
Hands-on experience in medical assisting and direct patient care in an outpatient or clinical setting.
Proficiency with electronic medical records (EMR); experience with Athena or Epic strongly preferred, with openness to other EMR systems.
Ability to accurately obtain and document vital signs, including manual blood pressure.
Demonstrated ability to work effectively in a high-volume environment handling approximately 80-100 patients per day.
High school diploma or GED.
If certified, Medical Assistant certification from an accredited program.
If not certified, completion of relevant medical assisting courses from an accredited school.
Strong customer service skills and professional bedside manner.
Proactive, outgoing approach with the ability to multitask and manage competing priorities.
Strong problem-solving skills and the ability to manage patient flow efficiently.
Willingness and ability to work flexible shifts, including some evenings and Saturdays.
Willingness and ability to travel to other nearby offices as needed.
Additional Skills & Qualifications
Orthopedics or podiatry experience is a significant plus.
Experience with Athena and Epic EMR systems is highly desirable.
Demonstrated ability to build rapport and long-term relationships with patients in an outpatient setting.
Comfort working as part of a collaborative, multi-provider team.
Strong organizational skills and attention to detail in documentation and inventory management.
Adaptability to different office locations while maintaining consistent quality of care.
Work Environment
This is a full-time, 40-hour-per-week role in an outpatient clinical setting. The standard schedule is Monday through Friday, starting at 7:45 a.m., with end times typically at either 5:15 p.m. or 6:15 p.m. The practice has later evenings on Mondays and Wednesdays, with the last patient scheduled at 5:50 p.m. You will also work two Saturdays per month from 8:00 a.m. to 12:00 p.m. The office operates as a high-volume practice, seeing approximately 80-100 patients per day across two providers, so the pace is fast and requires strong time management and teamwork. Staff may be assigned to cover other nearby locations, with typical travel kept within approximately 30 minutes from New Providence or from home, and travel to other sites is reimbursed. The environment is professional, team-oriented, and focused on building long-term relationships with patients in an outpatient setting, allowing you to see many patients repeatedly over time. You will work with modern electronic medical record systems, primarily Athena (and potentially Epic), and standard clinical equipment for vital signs, procedures, and instrument sterilization.

Pay and Benefits
The pay range for this position is $19.00 - $24.00/hr.
