Description We are looking for a detail-oriented Accounting Assistant to support day-to-day financial operations for a non-profit organization in Coachella, California. This Contract position is ideal for someone with hands-on experience in invoice processing, financial recordkeeping, and administrative coordination. The role will contribute to accurate payables activity, purchasing support, and compliance with established accounting procedures while helping maintain organized and reliable financial documentation.

Responsibilities:

Process vendor invoices from receipt through payment, ensuring supporting documentation is complete and approvals are secured before disbursement.

Review purchase-related records, match invoices to purchase orders, and investigate discrepancies to help resolve payment issues efficiently.

Enter payables data into financial systems with accuracy, including account coding, vendor details, and transaction amounts.

Prepare and organize accounts payable files, reconcile errors, and assist with issuing checks for distribution and record retention.

Support purchasing activities by handling requisition documentation and preparing purchase orders in accordance with established procedures.

Examine source documents for accuracy, completeness, and policy compliance, then distribute and file records appropriately.

Maintain petty cash balances for multiple departments by tracking usage, auditing activity, and replenishing funds as needed.

Assist with administration of the organization's credit card program by setting up users, monitoring transactions, allocating expenses correctly, and completing monthly reconciliations.

Prepare and issue 1099 forms and provide general accounting and administrative support related to AP, AR, and office operations. Requirements - At least 1 year of experience in an accounting support, accounts payable, accounts receivable, or administrative office role.

Working knowledge of accounts payable processes, including invoice review, coding, matching, and payment support.

Ability to maintain accurate financial records and reconcile discrepancies in a timely manner.

Experience handling purchasing documentation, source records, or other finance-related administrative paperwork.

Familiarity with accounting or finance software and confidence entering transactional data with a high level of accuracy.

Understanding of compliance with internal procedures, documentation standards, and basic financial controls.

Strong organizational skills, attention to detail, and the ability to manage multiple tasks in a deadline-driven environment.
