Summary This position is located in the Nutrition and Food Service at the San Francisco Veterans Affairs Health Care System. The incumbent is required to perform a variety of procedural and administrative duties that are not always narrowly focused. The incumbent has the ability to research, document and evaluate and analyze statistical date to formulate short and long range goals. The primary purpose of the position is providing administrative support to Administrative Officer and service leadership. Responsibilities As the Administrative Support Assistant, your duties include but are not limited to: Data Collections and Tracking Support Provides assistance in the performance of manpower analysis needs of NFS for workload and productivity studies and human resources management effectiveness. Gathers and track data on overtime worked, unscheduled hours, call ins, no call no show data on a monthly, quarterly and annual basis for supervisory use in analyses of manpower and workload reviews. Gathers and track data on status of recruitment actions, new employee orientation, performance plans, competencies, licensures and safety requirements forms in meeting regulatory requirements. Completes Time and Attendance Develop electronic work schedules each pay period Monitors and reports time and attendance Prepares background materials for supervisor use by reviewing and researching time and attendance records, and compiling information on such item as salary cost, @types of hours worked, leave used and other similar items Procurement and Financial Support Function Performs assistant support of a fiscal nature, such as liaison with vendors regarding the status of orders, initiating internal fiscal controls for processing of receiving documents or inputting and maintaining financial data in an automated financial system. Places orders for food and supplies utilizing federal contracts. Documents expenditures within electronic systems to track costs on daily and monthly basis. Office Automation, Mail, Correspondence and Reports Prepares and edits Medical Center Memorandums and submits for approval using SharePoint program. Updates electronic menu board and CLC cafe´ kitchen reports to reflect weekly menu and service changes. Creates PowerPoint slides for patient events, announcements and menu highlights.
