Medical Scheduler / Front Desk Coordinator

Location: Castro Valley, CA (Onsite)

Schedule: Monday-Friday, 8:00 or 8:30 AM - 5:00 PM

About the Role

We're looking for a friendly, organized Medical Scheduler / Front Desk Coordinator to join our team! In this patient-facing role, you'll be the first point of contact, helping create a welcoming and seamless experience for everyone who walks through our doors.

What You'll Do

Greet patients and visitors warmly, following C-I-CARE service standards

Check patients in and out, verifying insurance and demographic information

Schedule, reschedule, and cancel appointments using Epic (EHR system)

Answer multi-line phones, route calls, and respond to inquiries professionally

Maintain strict confidentiality of patient information in compliance with HIPAA

Coordinate with clinical staff to support smooth patient flow and communication

Assist with administrative tasks such as scanning, faxing, and filing medical documents

Schedule & Work Environment

Monday-Friday schedule with an 8:30 AM start time

Includes two 15-minute breaks and one 30-minute lunch

Work alongside another Front Desk Receptionist in a collaborative setting

What We're Looking For

Experience with Epic is required

Strong customer service and communication skills

Ability to multitask and stay organized in a busy clinic setting

Comfortable handling phones, scheduling, and administrative responsibilities

Detail-oriented with a focus on accuracy and patient privacy

Job Type & Location

This is a Contract position based out of Castro Valley, CA.

Pay and Benefits

The pay range for this position is $35.00 - $35.00/hr.
