Provide administrative support to the graphics team through accurate data entry and record updates

Manage digital files, including organizing, saving, and maintaining PDF documents

Transfer artwork/files between internal programs, databases, and company servers

Assist with project coordination by tracking deadlines, updates, and required materials

Route questions, requests, and project-related inquiries to the appropriate team members

Maintain organized filing systems for both physical and electronic documents

Prepare and send emails related to project updates, requests, and follow-up communication

Support day-to-day office operations to ensure workflow efficiency within the graphics department

Verify file accuracy and ensure documents are properly stored and accessible

Assist with additional administrative or special projects as needed

All other duties as assigned

Qualifications, Education and Experience

Administrative experience preferred

Basic understanding of clerical procedures and systems such as recordkeeping and filing.

Demonstrate strong computer proficiency.

Experience using Microsoft Office Suite (Word, Excel, Power Point), Visio, Teams, and Outlook.

Maintains strict confidentiality and protects privacy of confidential/sensitive information.

Exceptional time management and organization skills. Ability to manage multiple tasks and projects simultaneously establishing priorities to meet deadlines.

Ability to communicate effectively.

Self-confident, self-motivated polished professional who thrives in a challenging, fast-paced environment.

Work Environment

Work primarily in a climate controlled indoor environment with minimal safety/health hazard potential. Hearing protection, safety shoes and vision protection required when in manufacturing areas.

This role operates in a professional office environment that requires some exposure to a manufacturing environment. Employee is rarely exposed to non-toxic/nuisance smells from chemicals, airborne dust, moving mechanical parts, high noise levels and hot/humid environmental conditions in the manufacturing areas.

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Employee is regularly required to stand, walk; use hands/fingers to @type, hold, handle, or feel; and reach with hands and arms. The employee is regularly required to talk or hear. The employee must occasionally lift and/or move up to 10 pounds.
