Responsibilities
POSITION SUMMARY:
Provides administrative support and assistance to the farm group. Supports departmental operations by performing clerical duties which includes data entry, the maintenance of departmental files and records, directs phone and front door traffic, maintenance of office inventory supplies, coordination of meetings, and generation and distribution of reports. Assists with the completion of various projects as requested.
Qualifications
DUTIES AND RESPONSIBILITIES:
Provides office services by performing administrative duties, including answering and routing incoming phone calls to appropriate sources within work unit, responding to inquiries from the public, scheduling appointments, arranging meals, and handling departmental mail.
Enters daily and weekly transaction data into spreadsheets and/or databases. Reviews data for accuracy. Generates reports and graphs and distributes appropriately.
Assists with departmental operations with supplier contracts. May confirm market prices to verify accuracy of pricing information.
Works with the off-site accounting team for data and reporting needs. Plans and meets company and department deadlines as defined.
Coordinates mail and supplies to the correct departments. Directs truck drivers to the appropriate pickup/delivery locations.
Monitors inventory of office supplies and equipment and recommends purchases when necessary.
Works with the office team to cover other's duties when they are out.
Asks questions to drive accuracy and also efficiency.
Performs other duties of a similar nature or level.
EDUCATION AND EXPERIENCE REQUIRED:
Up to one year of specialized or technical training beyond high school in office administration or secretarial/administrative services and at least 2 years of related experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
Basic computer operations such as word processing, spreadsheet and database software used within work unit.
Office equipment operations, such as photocopy and fax machines, computers, and shredders.
Methods and techniques of maintaining record keeping and filing systems.
Methods of generating and formatting reports professionally and rationally.
The pay range for this position is $21.25 to $28.05 per hour.
