Job Summary
The Administrative Assistant serves as an integral member of the Chaplain's Office, which supports spirituality, religious life, contemplative practices, and meaning making within our diverse and pluralistic campus. The Chaplain's Office focuses on supporting the campus' holistic and spiritual wellbeing and growth through our programs, spiritual care, and physical spaces with openness, compassion, and attentiveness to honoring diverse spiritual journeys. This part time, 20 hour/week position, supports the Chaplain's Office mission by providing administrative, organizational, and logistical assistance to the Chaplain and Chaplain's Office staff.
Responsibilities
Serve as a welcoming presence for the Chaplain's Office in Shove Memorial Chapel, greeting guests, students, faculty, and staff; answering the phone and questions about Chaplain's Office programs and services. Support all office communications through face-to-face interactions, email, the web page, and social media. Maintain extensive historical and operational records.
Provide logistical support for the Chaplain's Office staff and student leaders related to ongoing programs, special events, periodic projects, and speakers brought to campus; advertise, make room reservations; secure food procurement, preparation, and cleanup related to a wide range of programs; arrange physical setup for larger Chapel events; ensure payment to vendors; and handle other office needs as assigned.
Coordinate and schedule the use of Shove Memorial Chapel and other interfaith spaces for a diverse range of spiritual and religious communities, student groups, official convocations and gatherings, lectures and academic departments, co-curricular programs and events, and various ceremonies and rituals.
Work with the Chaplain to coordinate the design, production, and distribution of promotional materials; edit and maintain publications for the Chaplain's Office, general Spiritual Life programs, and specific religious groups. Manage digital spaces, regularly update the Chaplain's Office website, and promote events on college platforms.
Responsible for managing office, staff, building, and program schedules and internal calendars; integrates our office programs into the broader CC calendars and scheduling software; and coordinates logistics with other campus offices.
Maintain the physical spaces of Shove Memorial Chapel and Interfaith House; ensure high standards of housekeeping and proper upkeep of all physical spaces and elements, including the historic pipe-organ, Steinway D piano, furnishings, appliances, and exterior grounds; and keep supply levels adequate.
Assist Chaplain and Chaplain's Office staff in monitoring and managing program spending, fund dispersal, p-cards, reimbursements, budget requests, administrative reports, and information related to multiple and diverse organizations and communities connected to the Chaplain's Office, chapel, and the broad spiritual life at CC.
Minimum Qualifications
Some college/Associates degree or equivalent additional related experience plus a minimum of three years of related administrative experience
Intermediate level of proficiency with Microsoft Office suite; excellent oral and written communication skills; proficiency in spelling, punctuation, grammar, and basic business math; strong organizational skills; ability to think critically and solve problems; sound judgement and ability to handle sensitive/confidential/private information and issues that arise in the course of the job with discretion; ability to handle multiple demands and competing priorities; ability to communicate effectively and develop positive relationships with people from different cultural, spiritual, religious, and belief systems; ability to work independently, accurately, and with discretion and the ability to work as a part of a team; ability to take instructions; high level of resourcefulness, compassion, diplomacy, integrity, flexibility, and professionalism in all aspects of responsibilities; strong customer service skills; ability to work in a quick-paced environment with timeliness and the ability to navigate shifting priorities with ease
Ability to work occasional event or weekend hours
Ability to operate standard office equipment
Preferred Qualifications
Bachelor's degree; experience fostering and creating an inclusive, welcoming environment.
Experience creating marketing/promotional materials; intermediate to advanced level of proficiency in Microsoft Office Suite; experience with use of databases (example: Concur, Cascade CMS; Banner), web browsers, budget and file management software, and web design software; ability to learn new databases, software, and social media platforms.

Anticipated Hiring Salary Range:
$20.75 to $24.69 per hour
