The Office of Juvenile Justice is seeking a highly organized and self-sufficient Administrative Assistant 4 to provide essential administrative support to the YS Human Resources Division, working under the direct supervision of the HR Director. This role is ideal for a detail-driven professional who thrives in a fast-paced environment and can manage sensitive information, complex tasks, and competing priorities with accuracy and professionalism.
As the primary administrative support for the HR Director, you will handle a wide range of responsibilities, including managing correspondence, preparing onboarding materials, coordinating meetings, responding to HR information requests, and supporting special projects throughout the year. You will also serve as the timekeeper for Central Office staff and assist with routine clerical operations that keep the division running smoothly. Experience with timekeeping and LaCarte purchasing is a strong plus, as is the ability to work independently with minimal supervision.
We're looking for a dependable, resourceful professional with excellent communication skills, strong organizational abilities, and a commitment to maintaining efficiency, confidentiality, and high-quality service within the HR Division.

Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:

Job Duties and Other Information
Job Duties:
Provide administrative support to the YS Human Resources Division, working directly under the HR Director.
Manage a multi-line phone system, screen calls, respond to routine inquiries, and prepare correspondence for the HR Director.
Handle HR information requests , including public records and employment verifications.
Prepare onboarding materials, coordinate meetings, and assemble agendas, handouts, and binders.
Interpret departmental policies and procedures for employees and the public.
Assist with special HR projects , including tracking notifications, compliance documents, and training requirements.
Serve as timekeeper for Central Office staff; ensure accurate and timely entries in CATS each pay cycle.
Support HR purchasing processes; LaCarte experience is a plus.
Perform routine clerical tasks such as copying, filing, sorting mail, and operating office equipment.
Maintain organized files, records, and HR documentation with accuracy and confidentiality.
Assist with screening processes, including Diana Screening administration and scheduling secondary testing.
Perform additional duties as assigned by the HR Director, HR Supervisor, or HR Manager.
