Summary You will serve as a EXECUTIVE ASSISTANT of NAVFAC SOUTHWEST. Responsibilities You will serve as a personal assistant to the Commanding Officer, participating directly in the development and administration of office policies and procedures. You will receive and screen incoming telephone calls and visitors with professionalism, tact, and diplomacy. You will serve as the Command's Protocol specialist, responding to questions and providing advice on protocol for different occasions. You will order and maintain office supplies, subscriptions, and memberships specific to the Command front office. You will exercise primary control over the calendars for scheduling, organizing, and coordinating meetings, briefs, and events for the Commanding Officer and Executive Officer. You will initiate and coordinate all official travel arrangements for the Commanding Officer and Executive Officer. You will compose and review correspondence for correct grammar, consistency, completeness, general tone, and in accordance with Navy, Region, and local policy for Commanding Officer and Executive Officer signature. Requirements Conditions of Employment Qualifications Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-07 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: 1) Coordinating the supervisor's calendar, initiate and discretion, establishes priorities, sets up, reschedules, or refuses appointments, accepts or declines invitations to meetings, organizes and coordinates meetings, and arranges for representation by substitute official when necessary; 2) Sharing responsibility for ensuring requests for action or information which would normally receive the Commanding Officer's attention are made known to the Executive Officer, Business Director or Operations Officer if Commanding Officer is not available; 3) Making all arrangements for official travel authorizations, ensuring that required point papers/reports are accurately prepared and contain necessary information; 4) Applies discretion and knowledge of senior management's special interest, views, and military protocol to screen calls; 5) Determining matters that can be handled by Executive Officer, Business Director, Operations Officer, or Directorate/Division Directors and refers the topic as appropriate; 6) Receiving all correspondence for the Commanding Officer, routes matters requiring action by Executive Officer, Business Director, Operations Officer, or Directorate/Division Directors; and follows up to ensure that actions are completed; 7) Knowledge of Navy Fitness and Evaluation Reports policies and procedures; 8) Composes routine correspondence and reviews correspondence for correct grammar, consistency, completeness, general tone, and in accordance with Navy, Region, and local policy for Commanding Officer and Executive Officer signature.
