Description We are looking for an experienced Executive Assistant to support leadership within a dynamic non-profit organization based in San Francisco, California. This is a long-term contract position offering an opportunity to work closely with executive teams and the Board of Directors, ensuring smooth operations and effective communication. The ideal candidate will excel in managing administrative tasks, overseeing meeting logistics, and anticipating the needs of organizational leaders.

Responsibilities:

Handle a variety of administrative tasks to support organizational leadership, ensuring efficiency in daily operations.

Assist with special projects by creating detailed reports, complex documents, and well-structured presentations.

Serve as the primary liaison for leadership and the Board of Directors, managing communication and providing logistical support.

Arrange and oversee logistics for meetings and events, including scheduling, drafting agendas, preparing materials, and recording minutes.

Ensure compliance with organizational bylaws while managing Board-related matters such as meetings and documentation.

Monitor upcoming deadlines and commitments for leadership, proactively addressing needs ahead of meetings and conferences.

Coordinate Executive Management Team meetings with precision, collaborating with relevant stakeholders to ensure success.

Manage travel arrangements, including booking and coordinating itineraries for executives.

Maintain calendars with exceptional attention to detail, ensuring schedules are optimized and conflicts are avoided.

Support organizational initiatives by anticipating needs and providing strategic administrative assistance. Requirements - Proven experience in an Executive Assistant role, preferably within a non-profit or similar organization.

Strong proficiency in calendar management and scheduling for senior leadership.

Demonstrated ability to arrange and coordinate travel plans, ensuring seamless itineraries.

Expertise in organizing executive-level meetings, including logistics, agendas, and minute-taking.

Exceptional written and verbal communication skills, with the ability to produce detailed and accurate reports and presentations.

High level of organizational skills and attention to detail, capable of prioritizing tasks in a fast-paced environment.

Familiarity with Board governance and compliance regulations is highly desirable.

Proficient in using office productivity tools and software to manage administrative tasks efficiently. TalentMatch®
