Position:
The Idaho Department of Environmental Quality (DEQ) is hiring an Administrative Assistant I for the Pocatello Regional Office.
Salary Range: $18.78
Responsibilities:
· Front Desk Reception and General Clerical Support:
Answer all incoming telephone calls.
Greet and direct all visitors.
Log complaints and direct to appropriate staff.
Log and route all incoming mail, packages, etc.
Provide general staff support reserving conference rooms, cars, etc.
Provide general support for meetings with refreshments, set up video conferencing equipment, and give technical support such as taking minutes.
Maintain a daily electronic inventory of DEQ-related current events via printed or online media and share with the State Office for dissemination.
Prepare, proofread, and edit correspondence, documents, reports, and mailings for staff.
Assist the Administrative Assistant 2 (AA2) in vehicle fleet management, including vehicle binder maintenance, mileage logging, vehicle use, safety equipment upkeep, etc.
Ensure office supplies are stocked and organized as appropriate.
Enter documents into the electronic data management system as needed
Complete other tasks as assigned.
· Travel and Training Support
Provide travel and training support as requested to support the AA2-supervisor.
Prepare training/travel requests for staff.
Reserve state vehicles and lodging accommodations.
Prepare travel reimbursements for staff in LUMA.
Minimum Qualifications:
Good knowledge of:
Office support functions including word processing, filing, composing a variety of business documents, reception, gathering and compiling data, and balancing and coordinating a workload for multiple projects.
Required Specialty Minimum Qualification
DEQ 25 - Administrative
Must be able to operate word processing software (such as Microsoft Word) and equipment at the rate of 40 wpm or more and produce merged documents, specialized tables, reports (columns), correspondence, forms (creating and using templates), and graphics.
Physical Requirements (with or without reasonable accommodations
Ability to sit and work on a computer for 2-4 hours at a time.
Ability to bend and reach for filing purposes.
Some periods of heavy reading and typing are required.
Ability to lift 30 pounds when working with file boxes.
Some travel may be required.
Must have a valid driver's license
Occasional travel required
