The HIV Supports Administrative & Technical Specialist exists to provide administrative and technical coordination and support to the HIV Supports Division to support efforts to meet current and emerging needs of populations impacted by HIV in Minnesota including those experiencing disparities. The HIV Supports Administrative and Technical Specialist works in collaboration with the division director and supervisors, division and agency staff, government professionals, community partners and people living with and impacted by HIV to complete administrative and technical tasks needed for Ryan White and HIV Supports program delivery and management. Responsibilities include:
Provide administrative and human resources (HR) coordination and support to the HIV Supports Division including the division director, supervisors and staff. Support is provided to further division efforts to meet current and emerging needs of populations impacted by HIV in Minnesota including those experiencing disparities, and to achieve organizational goals including compliance with relevant federal, state, agency and program guidance
Tasks include: scheduling and coordinating meeting logistics, developing meeting materials, documenting meeting notes, supply ordering, and more
Provide collaboration, documentation and communications coordination and support to the HIV Supports Division including the division director, supervisors and staff. Support is provided to coordinate and maintain content for program areas via web-based collaboration platforms in accordance with department and division standards and protocols
Tasks include: serving as the division's content manager for SharePoint, Teams and webpages, supporting record retention work, developing and updating procure documentation and more
Provide technology coordination and support to the HIV Supports Division, including the division director, supervisors, and staff. This involves helping staff access, develop, and maintain a variety of technical resources, in alignment with agency and division standards and protocols
Tasks include: acting as the division's technical support liaison, attending related meetings and trainings to guide division technology work, facilitating access to technology solutions, resolving technology challenges and more
Provide program support for HIV Supports Services as assigned to advance division efforts to meet current and emerging needs of people impacted by HIV in Minnesota including those experiencing disparities
Tasks include: developing and maintaining foundational knowledge related to division's work with HIV, assisting with direct client mailings and other communication, coordinating logistics for various meetings to advance division work, providing administrative support (including periodic in-person support) for assigned meetings with community partners and more

Minimum Qualifications

Communication Skills, written and oral, to deliver technical information to nontechnical audiences
Data Entry Performance sufficient to prepare EIORs, order supplies, materials, printed resources and support other personnel functions and transactions (eg: payroll processes, travel coordination, organizational chart updates, and onboarding logistics)
Database, Documents, and Records Management including Adobe Acrobat, Microsoft office products such as SharePoint and Microsoft Teams
Desktop or Website Publishing skills to serve as the content manager for HIV webpages and content support
Typing/Keyboarding sufficient for administrative support for meetings (agenda prep, notetaking, scheduling, etc.)
Preferred Qualifications
Working knowledge of data privacy laws and rules imposed by Minnesota Government Data Practices Act, the Health Insurance Portability and Accountability Act (HIPAA) and other regulations guiding the privacy of client data
Foundational knowledge of, or ability to learn foundational information about, HIV services including Ryan White services and basics with HIV prevention and care to support accurate and sensitive communication and documentation of division work, those with lived and learned experiences with HIV encouraged to apply
Ability to work effectively as a team member and independently, often in ambiguous and changing circumstances, responding to multiple priorities and within tight timeframes
Variety of experiences working effectively with others from different backgrounds and/or cultures
