This position exists to coordinate projects and programs for the Associate Warden of Administration: recruitment and retention efforts, litigation, Data Practices, Americans with Disabilities Act (ADA), internal staff recognitions (DOC Hotline articles), and all officer interviews. This position is also the primary backup to the Exec 2 in the Warden's Office and coordinates projects for executive staff at the facility. This position has access to classified legal, security and confidential information and facility administrative issues.
Minimum Qualifications
To be qualified for and considered for this position, applicants must meet all of the minimum qualifications listed below. Typing skills and skills in using word processing software (preferably Microsoft Word) sufficient to create letters, memos, correspondence and reports.
Data entry performance sufficient to access DOC-specific databases and other computer systems to enter, gather, and report data. (Databases/systems may include: Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook, and Correctional Operations Management System (COMS).
Spreadsheet skills (preferably Microsoft Excel) sufficient to design, develop and manipulate spreadsheets.
Skills in researching and compiling data/information.
Skills in maintaining and updating record management systems, both electronic and hard copy information and files.
Human relation skills sufficient to deal with executive staff and managers, DOC staff, other state agencies, family members of incarcerated people, and the general public.
Written communication skills sufficient to independently compose and edit correspondence, letters, and reports using proper grammar, punctuation and spelling.
Verbal communication and interpersonal skills sufficient to communicate effectively with a variety of customers and stakeholders and exhibit professionalism, courtesy and tact.
Ability to maintain confidentiality of all data and information.
Preferred Qualifications
The following qualifications are strongly desired of applicants seeking consideration for this position:
Two (2) years of experience as an executive assistant, senior administrative assistant, office manager, or similar role.
Experience using BCA, CJIS, and/or COMS.
Knowledge of data privacy and the Minnesota Data Practices Act.
Working knowledge of ARCHIBUS and the Electronic Inter-Office Requisition (EIOR) purchasing system.
Experience in a correctional environment.
Knowledge of the court system and court documents.
Experience in developing administrative and programmatic procedures sufficient to obtain, organize, and draft materials.
Physical Requirements

Additional Requirements
The selection process may include screening the top candidate(s) on their criminal history, predatory offender registration, offender associations and/or other applicable background information in accordance with Department of Corrections' policy. Top candidate(s) must pass a criminal history check which includes successful completion of all sentencing and/or restitution requirements of law enforcement jurisdictions, including probation.
Employment history/reference checks, including incidents of sexual harassment, will also be conducted on the top candidate(s) in accordance with Department of Corrections' policy. This may include a review of job performance and discipline records.
