Department Summary:
The Total Rewards department designs and delivers the full value proposition for employees, combining Compensation, Benefits, and Wellbeing to attract, motivate, and retain talent. Roles & Responsibilities:
Provide senior-level administrative support to Total Rewards leaders and team members, including complex calendar management and meeting coordination across time zones
Coordinate end-to-end meeting logistics (agendas, materials, notes, minutes/action items, and follow-up) to ensure timely completion of commitments
Serve as a point of contact for routine inquiries and requests; triage and route items appropriately while maintaining confidentiality
Support onboarding and offboarding logistics (e.g., access requests, workspace/logistics coordination, schedules, distribution lists, and coordination with partners)
Assist with procurement and financial administration activities such as purchase requisitions, invoice tracking, and expense report support in accordance with policy
Maintain organized electronic records and shared repositories, applying consistent naming/versioning practices and supporting access controls
Identify opportunities to streamline administrative processes; document procedures and help implement improvements
Support department operating rhythms (e.g., staff meetings, quarterly planning, vendor touchpoints) by maintaining schedules, materials, and action registers
Track and reconcile departmental deliverables and deadlines; provide status updates and reminders to enable timely completion of commitments
Coordinate travel logistics as needed, including itineraries and meeting arrangements, in compliance with organizational guidelines
Perform other related administrative duties in support of Total Rewards initiatives across Compensation, Benefits, and Wellbeing
Basic Qualifications:
Typically requires a minimum of 3 years of related experience with a High School Diploma or equivalent in education, or 2 years' experience and an associate degree, or equivalent combination of education and related work experience.
Demonstrated experience providing administrative support in a fast-paced environment with competing priorities and shifting deadlines
Proficiency with office productivity tools (e.g., Microsoft Outlook, Word, Excel, PowerPoint, and collaboration tools such as Teams/SharePoint or equivalent)
Strong written communication skills, including drafting clear communications and capturing meeting notes/action items
Demonstrated ability to manage complex calendars, coordinate meetings, and track deliverables with accuracy and follow-through
Proven attention to detail and strong organizational skills, including effective document management practices
Ability to handle sensitive information with discretion and maintain confidentiality
This position requires a minimum of 50% hybrid on-site
Preferred Qualifications:
Experience supporting Human Resources, Compensation, Benefits, Wellbeing, or another Total Rewards-adjacent function
Experience supporting senior leaders and coordinating complex, multi-stakeholder meetings
Experience with procurement and financial administration workflows (e.g., requisitions, invoicing, expense reporting)
Advanced proficiency in Excel (e.g., pivot tables, formulas) and strong PowerPoint formatting skills
Experience maintaining SharePoint sites or structured shared drives, including permissions and version control
Familiarity with HRIS, ticketing, or workflow tools (e.g., ServiceNow or equivalent)
Demonstrated experience improving administrative processes through standardization, documentation, or automation
Proven attention to detail and strong organizational skills, including effective document management practices
Ability to handle sensitive information with discretion and maintain confidentiality
Ability to collaborate effectively with leaders, peers, and cross-functional partners
