Summary This position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), Mid-Atlantic Health Care Network (VISN 6), at the Durham VA Medical Center in the Office of the Medical Center Director. Responsibilities THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION Major Duties: Coordinates the calendar for meetings and conference calls. Manages master files on Medical Center Memoranda (MCMs), Standard Operating Procedures (SOPs), and all VA Directive and Manuals. Exercises exclusive control over the Director's appointments, with complete authority for commitments of time. Is the primary point of contact responsible for correspondence through the Electronic Documentation/Data Management System (EDMS), administrative actions from VISN 6 and other government agencies, plus other VA systems and maintains Confidentiality. Responsible for managing and coordinating all travel arrangements for the Director, making all necessary reservations, making all necessary contacts with agencies, and providing travelers with materials required for meetings. Responds to inquiries and administrative problems brought to the Director by members of the staff and officials of the agency's network office, state and local governments, other hospitals and organizations, other federal agencies. Notifies the appropriate staff officials of the need for information or recommendations, and either prepares the response or follows up to ensure a timely response by others. Interacts daily with Veterans, staff, and volunteers by telephone, personal contact, and through correspondence written to the attention of the Director. Screens all calls and visitors, answering most questions and completing most businesses involving established policies or routine matters without referring people to the Director. Screens all correspondence prepared for the Director's signature for clarity, completeness of reply, and grammatical and procedural correctness. Performs all duties as assigned. Qualifications For GS-9: Possess at least one (1) year of specialized experience to perform the duties of this position. To be creditable, this experience must have been gained to at least the equivalent of the next lower grade level of (GS-8) in Federal service. Specialized experience is managing and coordinating all travel arrangements and reservations; responding to inquiries and administrative problems by members of the staff or officials; screening all correspondence for clarity, completeness of reply, grammatical and procedural correctness; and routing matters requiring action by management and following up to ensure that actions are completed. TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to @type at least 40 words per minute.
