Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
Prior related experience of 2 years or more working as an Administrative Assistant.
Attention to detail.
Demonstrated strong verbal and written communication skills.
Experience with Microsoft Office 365, including Teams, Outlook, Word, Excel, PowerPoint, etc.
Ability to multitask, organize, and prioritize responsibilities.
Demonstrated ability to maintain confidential records and files.
Preferred Qualifications
Prior experience working in an academic setting.
Professional experience managing organizational website and social media platforms (Facebook, LinkedIn, X, Instagram).
Basic understanding of Texas State software/programs.
Basic understanding of Texas State University/academic policies and procedures.
Job Description
Responsible for providing administrative and general clerical support to the Dean's Office, Health Sciences (HS) program and the chairs/directors in theCollege of Health Professions ( CHP ) (https://www.health.txst.edu/) .
This position is housed on the San Marcos Campus.
Job Duties
Duties associated with the CHP Dean's Office:
Serve as Receptionist by answering phones, greeting and assisting students, faculty, staff and visitors. Represent office as professional.
Track CHP's policy and procedures for required reviews.
General office duties include running errands, fax, duplicate materials, prepare outgoing mail, distribute incoming mail, order office supplies, complete purchase requisition/POs, complete student worker duties when student is out, and ensure office is clean for staff and visitors.
Building Assignments: Process work orders for repairs/issues for Encino Hall.
Prepare Dean's List Certificates.
Order CHP giveaways for the Dean's Office.
Webmaster for the college, add information to digital signage in Encino Hall ( SMC ) and Willow Hall ( RRC ).
Prepare and process Affiliation Agreements (AA) with outside facilities and agencies for student clinical placements. Maintain AA electronic database and serve as liaison between the placement coordinators and the affiliation sites (letters J-Z).
Coordinate with the CHP academic units and the Registrar's Office on Schedule of Classes room assignments in Encino Hall.
Assist with all college events.
Social media support staff for the college.
Perform other duties as assigned.
Duties associated with the BSHS program:
Coordinate duties with HS Administrative Assistant III ( AAIII ).
Collecting syllabi from faculty.
Provides Assistance with Schedule of Classes for HS course (backup support for AAIII ).
First Designated Survey Support for HS.
Preparing marketing materials (i.e. flyers, invitations, etc. as needed).
Bobcat Days, Bobcat Welcome Back, Admitted Student Day Preparation - SMC (flyers, tablecloths, giveaways, room setup, etc.).
Oversee and manage routine operations of the department in San Marcos.
Ordering office supplies for HS faculty.
Perform other duties as assigned.
