Duties Description Under the supervision of higher-level personnel, the Administrative Assistant 2 will serve as the administrative lead for the Genesee Regional Management Team. Duties include, but are not limited to:- Provide administrative and clerical support to regional leadership. - Answer phones; provide information to callers, take messages, and route calls to appropriate staff. - Greet and assist visitors or callers, respond to inquires, and direct individuals to appropriate staff. - Open, read, route, and distribute incoming mail and other materials; respond to routine correspondence and inquiries. - Track, monitor, and coordinate assignments, projects, and requests to ensure timely completion. - Set up and manager paper and electronic filing systems; maintain records, logs, and reference materials. - Create, maintain, and update spreadsheets and databases to track program, fiscal, and administrative information. - Maintain scheduling and event calendars; schedule and confirm meetings and appointments for staff and management. - Schedule interviews and coordinate onboarding and offboarding tasks.- Coordinate meetings, conferences, and special events, including logistics, meeting materials and room arrangements. - Make travel arrangement for staff and prepare or process travel authorizations and expense reports in accordance with agency procedures. - Prepare, proofread, and edit correspondence, reports, meeting minutes, and other documents to ensure accuracy formatting and style standards. - Research and compile information for reports, presentations, and responses to inquiries. - Order and maintain office supplies and inventory. - Perform other administrative duties as assigned to support the effective operation of the office.- Attend various meetings; take meeting notes and minutes.
Minimum Qualifications High school diploma or high school equivalency diploma; and three years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office. Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate's degree in office administration, secretarial science, administrative assistance, paralegal business technology, or office technology substitutes for two years of experience.**Your degree must have been awarded by a college or university accredited by a regional, national, or specialized agency recognized as an accrediting agency by the U.S. Department of Education/U.S. Secretary of Education (https://ope.ed.gov/dapip/#/home). If your degree was awarded by an educational institution outside the United States or its territories, you must provide independent verification of equivalency.
