GENERAL DESCRIPTION OF JOB:
The Finance Administrative Support Specialist performs a variety of administrative, customer service, and office operations duties to support the Community Resources Department and the Finance and Administrative Services (FAD) division. The position serves as a primary point of contact for the public and department employees; manages departmental communications and scheduling; and assists with coordination of employee engagement and community engagement activities. The role is primarily on-site and supports efficient daily operations and responsive service delivery.
DUTIES:
Serves as a primary front-facing point of contact for the Community Resources Department, providing in-person and phone-based customer service; greeting walk-in clients; answering, screening, and routing calls; and directing individuals to appropriate services, divisions, or staff.
Utilizes approved department systems and tools to access information and assist customers with inquiries, service navigation, and issue resolution, while maintaining a professional, welcoming front office environment.
Manages department and Finance and Administrative Services (FAD) administrative email inboxes, responding to routine public and internal inquiries, routing messages to appropriate staff or divisions, publishing approved communications and announcements through the SharePoint (SPS) HUB and related channels, and escalating complex or sensitive inquiries as appropriate.
Manages day-to-day office operations, including facilities and IT coordination (e.g., FIX tickets), office supply ordering, mail and courier services, safety and compliance checks (e.g., defibrillator and first aid inspections), and maintaining shared office spaces and administrative systems to ensure operational readiness and continuity.
Provides administrative and scheduling support to the Department Director, including calendar coordination, meeting logistics, and related administrative assistance, as requested.
Coordinates and supports department-wide employee engagement activities, including onboarding, trainings, engagement events, committees, and the Keep Up On series; maintains engagement calendars; and supports scheduling, logistics, materials preparation, and on-site execution to ensure continuity and operational flexibility.
Maintains and updates employee engagement-related content and visibility within the SharePoint (SPS) HUB, including calendars, event postings, reminders, and employee-facing resources, in coordination with the Administrative Specialist.
Coordinates department participation in community engagement and outreach events in collaboration with divisions, including organizing and scheduling department tables, serving as the primary point of contact for event logistics and participation needs, and ensuring appropriate representation of department programs and services.
Maintains department-wide community engagement calendars and event information, including posting and updating community event details and related materials within the SharePoint (SPS) HUB to ensure accuracy, visibility, and timely communication.
Provides execution-level SharePoint (SPS) support as a backup administrator, including maintaining accurate and current HUB content, posting approved communications and events, supporting routine navigation and updates, managing the department HUB calendar as needed, and escalating complex governance, structure, or access issues to the Administrative Specialist.
Provides broad administrative and logistical support across the Community Resources Department, assisting with scheduling, coordination, and materials preparation for department initiatives, and supporting evolving operational needs.

Strong customer service and communication skills, with the ability to interact professionally and courteously with the public, community partners, and internal staff, and to clearly convey information related to department services, programs, events, and administrative processes.
Ability to manage and prioritize multiple administrative and customer-facing tasks simultaneously, including front desk operations, email inbox management, scheduling, and event logistics, while maintaining accuracy, responsiveness, and attention to detail.
Proficiency in standard office software platforms, including Microsoft Word, Excel, and PowerPoint, for preparing correspondence, tracking information, organizing schedules, and supporting departmental communications and reporting needs.
Ability to use and navigate department systems and tools (e.g., SharePoint, calendaring systems, and program-related databases) to locate information, update content, support communications, and assist customers and staff with routine inquiries.
Strong organizational skills and adaptability, with the ability to follow established procedures, support coordination across divisions, respond to changing priorities, and contribute to smooth daily operations in a fast-paced, public-facing environment.

Education and Experience:
High school diploma or GED
At least 3 years of relevant experience
Any equivalent combination of education and work experience that satisfy the requirements of the job will be considered.
