Budget Title: Senior Staff Assistant (SL-3)
Salary: $57,151 - $62,000
The Operations and Finance Manager will:
Provide administrative support to the Chair and Program Directors
Advise Chair, Program Directors and others with respect to university programs/policies.
Assist the Chair with problem solving
Identify practical ways to improve efficiency
Oversee financial accounts and assist with budgeting and other financial matters
Attend meetings with Chair, Assistant and Associate Deans, Harpur Director of Finance as needed
Assist Chair with tracking and estimating revenues and expenses
Prepare budget monthly/compile data from Business Intelligence platform as needed
Meet with Chair to go over budget as needed
Keep track of various accounts and manage balance transfers as appropriate
Oversee tracking of summer/winter enrollments to assist Chair in revenue projections
Curricular planning, course scheduling and promotion
Assist Chair and Program Directors with curricular planning and solving related problems
Prepare curriculum plan files, coordinate with Harpur Dean's office, and attend planning meetings with Chair and Harpur Dean's office
Prepare and circulate draft of course schedules and enter in Banner
Maintain contacts with adjuncts and summer/winter instructors
Retrieve, compile and send "Course Guide" information to faculty and instructors for editing each semester. Maintain complete listing for future reference
Edit and submit material for University Catalogue / Bulletin
Maintain instructor course offering history for each faculty member
Promotion of Winter and Summer courses
Train, supervise and coordinate staff
Train and supervise full time office assistant and Administrative Assistant
Train and supervise student assistant and/or work-study student(s)
Coordinate staff responsibilities to ensure uninterrupted operations when staff are absent from work
Book and attend meetings and keep minutes
Attend all department meetings, take attendance and detailed notes, create minutes
Book all meetings, organize refreshments as necessary
Managing department's online presence
Maintain and improve department websites
Design new approaches to improve communications with students
Coordinate with Harpur Dean's office and Division of Marketing regarding department's website
Oversee annual PAT event and other lectures (including planning, promoting, ordering food, creating the program, creating awards certificates, etc)
Assist in determination and procurement of office equipment needs, including copier, printers, computers, and space and facility needs
Compile statistics, generate departmental reports, and assist with special projects as needed
Assist Chair with annual reporting to AEA
Provide administrative support for the undergraduate program
Advise Director of Undergraduate Studies and other faculty with respect to the undergraduate program
Assist the Director of Undergraduate Studies with problem solving
Maintain department database of majors and minors
Oversee communication with students, including the listserv
Assist students with respect to registration
Train and oversee Office and student assistant(s) to handle routine issues
Oversee the declaration of major process including creating forms, screening for eligibility
Consult with Registrar's office and Academic Advising as needed to resolve problems relating to undergraduate records and status
Assist with undergraduate award nominations
Provide administrative support for the graduate programs
Advise Director of Graduate Studies and Director of Admissions and others with respect to the graduate programs and university programs / policies
Assist the Director of Graduate Studies and the Director of Admissions with problem solving
Attend graduate committee meetings as non-voting member, take detailed notes
Assist with graduate recruitment including maintaining records and using SLATE
Assign office space to graduate students
Oversee new graduate student orientation
Oversee graduate student registration
Oversee graduate student TA assignments
Oversee communication with graduate students
Assist with determining assistantship offers
Assist with graduate award nominations
Provide ongoing support to all funded graduate students who are instructors, teaching assistants and graders, such as offering information regarding general policies and procedures and providing solutions for classroom, communication, and technology issues
Job Requirements:
Bachelor's degree (or higher)
2+ years of experience in an office administration role, i.e. records management, resource allocation, budget and financial management, maintenance of confidential records, etc.
Accounting training and/or experience
Experience with computer software, i.e. office products, email, online calendar management, database management, etc.
Effective written and verbal communication skills
Effective organization skills and attention to detail
Preferred:
Bachelor's or Master's degree in accounting, business administration, or related field
5+ years of experience in an office administration role
Supervisory experience
