JOB Duties

This position is responsible for assisting with various office, Sales department and Marketing Operations, and including logistics. Additionally, the Assistant is responsible for the measurement and evaluation of marketing tactics and campaign performance, including KPI target setting and monthly reporting and analytics. This role supervises no employees.

Primary duties and responsibilities include:

Collaborate with key stakeholders to develop and maintain core marketing operations processes to support collaboration and communication among the marketing and marketing operations teams. Identify gaps in internal processes and systems, and optimize workflows where possible

Collaboration with team and internal stakeholders to set annual targets and goals for marketing activities, tactics, and campaigns and work within Sales and Marketing Operations to facilitate monthly/quarterly Marketing performance report outs.

Assist with the reviewing and approval of trade show contracts and coordinating payment for show booths and special meetings including airfare and hotel accommodations

Packing and unpacking trade show crates and special meeting materials as well as handling the logistics

Preparing and organizing samples, executing shipping samples and collection of shipping samples from our customers

Assisting in the payment of approved annual memberships

Monitoring giveaways and communicating such with Creative Marketing personnel including ordering/reordering replenishment of such with monthly inventory counts and reporting

Assists with catalog ordering/reordering and coordinating payments

Prepare and coordinate the shipping of the catalog requests

Coordinate/schedule all AIA lunch and learns logistics, which includes preparing and shipping of the presentation boxes, for the sale force and entering CPE certs into the AIA system

Coordinate sampling and sample boards for all sales representatives and logistics

Attend all marketing meetings

Additional marketing services as needed or discussed

Reception/General Administration

Answer and direct calls on multi-line phone system

Take phone messages and relay information in a timely manner

Schedule conference calls, meetings and conference room, as requested

Locate seminars and training workshops for employees, as requested

Receive and sort all incoming mail daily

Greet and guide guests to their destination

Sign and accept FedEx, UPS, etc. deliveries

Arrange equipment repairs and purchases, as needed

Order office supplies

Maintain company bulletin boards

Assist with developing office procedures

Scan documents, as requested

Maintain a clean and tidy reception space

Physical Demands

Light lifting up to 30 pounds

Qualifications & Skills

Marketing education or equivalent working experience

PA driver's license

Highly organized with attention to detail in a fast-paced environment

Excellent time management skills with the ability to multi-task and prioritize work
